Our Metro team have a brand-new role for an experienced Technical Support Officer to provide efficient administrative and technical support to the team. Using SharePoint and ProjectWise, you will ensure that documents are well managed and easily available for the team. You will be instrumental in creating a comprehensive library for all Metro projects, enhancing their accessibility and streamlining processes.
In this varied role you will develop procedures around document management, minute take at meetings, support the PA with administration and work with various stakeholders to map out a continuous improvement plan. This is a great opportunity for someone who is highly organised to shape this newly created role and set document management procedures that will make a real difference to how we do things.
What you will be doing.Work with the project teams, Midland Metro Limited (MML) and Midland Metro Alliance (MMA) to ensure robust document management controls are created, implemented and maintained.Ensure information management and file naming protocols are compliant.Create a record of all paper documentation to ascertain the correct approach to capture the data in an electronic format.Upload documents to a central location such as SharePoint or ProjectWise.Document scanning service providers to scan and categorise documents into the database.Support with the facilitation and servicing of meetings.Manage the flow of technical information from the Owners Team to the MMA and MML. Carry out the analysis of various data sources using Microsoft Excel and/or other Microsoft Office software. What's essential.An experienced administrator, who is used to working on own initiative.Experience of support to meetings, minute taking a recording of actions.Experience establishing, implementing, and maintaining document control systems and processes as part of a multi-disciplinary project team.Demonstrable experience working with Document Control Systems/Common Data Environments (SharePoint, MS Teams, ProjectWise/similar)Excellent interpersonal skillsStrong attention to detail including observational, analytical, and organisational skills.Intermediate proficiency in MS Office applicationsEffective time management skills and ability to work independently as well as a member of a cross-functional team.Ability to work collaboratively.SharePoint or other relevant database Qualification.How to apply.
