OVERVIEW OF ROLE

The primary focus of this role is to support the Family Office Client Relationship Management Team in providing excellent service for Stonehage Fleming clients.

The role forms part of the Client Relationship Management Team with an emphasis on providing comprehensive administration support. The role will report into the CRM Assistant and CRMs depending on the client.

Key Responsibilities

KEY RESPONSIBILITIES

  • Provide administrative support to the Family Office Team on allocated clients, including but not limited to, the preparation of banking, investment, formation and termination forms, internal and external reports, instructing payments, monitoring debtors, and obtaining compliance when necessary.
  • Provide client servicing support to one or more Client Relationship Manager(s) and their clients; representing the Client Relationship Manager as appropriate.
  • Prepare client correspondence.
  • Receive queries from clients and other internal contacts and resolving / escalating as required.
  • Capture new client information and complete onboarding processes.
  • Support the CRM Assistant in undertaking the preparation of data and presentation packs for client meetings.
  • Assist in preparation of expert reporting packs for client meetings, which require a thorough knowledge of the client and excellent financial analytical skills.
  • Inputting, manipulating and maintaining client and prospect data.
  • Develop and maintain relationships with internal departments of the Group including compliance, legal, trust, accounting, investments, treasury & banking, philanthropy and property to effectively manage the clients' affairs. As well as third party coordination including lawyers, accountants, banks, insurance brokers etc.
  • Provide assistance in ensuring all transactions pertaining to the management of the clients' affairs are executed timely, efficiently and accounted for correctly.
  • Gather information from clients, internal contacts and other providers.
  • Support ongoing client monitoring including client reviews and fee queries.
  • Ensure compliance with group principles, all regulatory requirements and standards.
  • Such other duties as Family Office may from time to time reasonably require, including ad hoc projects.

QUALIFICATIONS AND EXPERIENCE

  • Educated to degree level (ideally in Finance, UK tax, Chartered Accountant, Legal or equivalent).
  • Good general knowledge of wealth management.
  • Experience of having worked in an administration capacity, for a financial services business desirable.

  • Excellent interpersonal skills and strong written and verbal communication with the ability to liaise confidently with professionals of all levels to ensure the optimum level of service to our clients.
  • Well organised and with strong time management skills to prioritise and manage a busy and changing workload.
  • Good attention to detail, an enquiring mind and a commitment to learn and develop.
  • Proactivity and ability to work independently.
  • Strong Microsoft Office skills.
