We have an exciting opportunity for a Production Admin Assistant to join our ever-growing LRP Production department. We are offering the position with a starting salary of circa £26,000 per annum gross based on experience.
The role of the Production Admin Assistant is to work alongside the Creative Operations Manager and Studio Manager as one of the first points of contact for LRP clients. You’ll help to plan, monitor and organise all running projects along with completing admin tasks including CRM, tracking and inputting all final production costs into the LRP tracker system. You will be the main point of contact for all new enquiring clients over email and phone so will need to be well versed in the intricacies of all client requirements. This is a key junior to mid team-based role reporting directly to the LRP Creative Operations Manager.
Main Duties - the following are some, though not an exclusive list, of the duties you will be expected to carry out:
- Handle all new sales enquiries as the main initial LRP POC with the ability to communicate clearly and professionally on all incoming client requests, filter, record and process client level to delegate to the correct level of oversight.
- Ensure in-depth client/brand research has been carried out on all new and existing enquiries.
- Communicate with clients to ensure you have all shot lists/briefs for the shoots.
- Clearly communicate incoming client requirements to the production team.
- Client handling and CRM; Create and communicate a clear workflow process for handling all client enquiries to be able to record, assess and follow up all leads.
- Estimate creation based on client requirements using sales tracking software, ensuring client orders adhere to approved terms and conditions and SLA's.
- Work closely with the enquiries team and COM to ensure all booked shoots have estimated costs signed off, deposits when needed and that larger accounts/Tier A’s have estimates.
- Translate instructions and develop a deep understanding of current and future LRP client and studio requirements.
- Invoice generation using Xero (or similar software) for approval by the accounts team; Confirmation of client deposits received.
- Tracking and inputting all final production costs into the LRP tracker system.
- Assist the production team on day to day additional pricing requests. Such as extra retouch, group and creative costs.
- Maintain accurate records of all contracts entered into by the company.
- Keep monthly financials up-to-date.
- Provide administrative support to our Production team.
- Using G-Suite/or other software to ensure all ongoing projects are up to date or signed off.
- Using Monday.com to track project progress.
Must-haves:
- Strong experience within a junior production role in the fashion e-Commerce sphere
- Excellent working knowledge of G suite, Sheets, Pages, Excel, Monday, Xero
- An extremely organised team player with the ability to quickly identify and flag issues
- A positive work ethic and strong attention to detail
- Excellent, energetic work ethic and positive problem-solving attitude
- Excellent communication skills on email, spreadsheet and phone.
- Excellent client facing and interpersonal manner.
- Comfortable working with macOS
- Strong appreciation of the fashion industry
- Strong understanding of studio-based digital content creation
- Ability to research, suggest and help implement improvements to workflow
- Ability to easily get to and from Hackney on a daily basis
