Role Description

We are seeking a detail-oriented and proactive Accounts Administrator to join our team on a part-time basis. The ideal candidate will have experience working in an accountancy practice and be familiar with GDPR compliance, Anti-Money Laundering (AML) regulations, and filing confirmation statements. Proficiency in using Monday.com for task and job allocation is essential. This role involves managing and maintaining accurate financial records, supporting the accounting team, and ensuring compliance with relevant regulations.


Key Responsibilities:


Accounts Administration:

  • Process and manage invoices, ensuring accuracy and timely payment.
  • Perform bank reconciliations and maintain up-to-date records of transactions.
  • Assist with the preparation of financial reports and statements.


Data Management:

  • Enter and update financial data into accounting software and databases.
  • Ensure accuracy and completeness of financial records and documentation.
  • Maintain organized and accurate files and records for audits and compliance.


Compliance:

  • Ensure all accounting activities comply with GDPR and AML regulations.
  • Handle the preparation and filing of confirmation statements.
  • Conduct regular reviews of compliance procedures and update as necessary.


Client and Vendor Interaction:

  • Communicate with clients and vendors regarding account-related inquiries and issues.
  • Assist in resolving discrepancies and ensuring timely resolution of billing issues.


Administrative Support:

  • Provide general administrative support to the accounting team, including scheduling meetings and managing correspondence.
  • Support the implementation of accounting policies and procedures.
  • Assist with the preparation and filing of tax documents and compliance reports.


Project and Job Allocation:

  • Utilise Monday.com to allocate and track tasks and projects.
  • Ensure efficient job allocation and monitor progress to meet deadlines.


Organisational Skills:

  • Maintain an organised workspace and ensure all documents are filed appropriately.
  • Manage multiple tasks effectively and prioritise workload to meet deadlines.

Experience:

  • Previous experience in an accounts administration role or similar administrative position.
  • Experience working in an accountancy practice.
  • Familiarity with accounting software (e.g., QuickBooks, Xero).
