Job Title: Facilities Helpdesk AdministratorLocation: PeterheadReporting To: Facilities ManagerHours: Full-time, 37.5 hours per weekWork Style: Hybrid working availableJob Purpose: The Facilities Helpdesk Administrator will support the Facilities Management team by managing, administering, and maintaining work task systems across multiple client sites. The role ensures the timely allocation, monitoring, and closure of helpdesk tickets while supporting overall daily operations and maintaining positive client and team relationships.Key Responsibilities:Manage incoming helpdesk tickets and assign tasks to the appropriate facilities team membersMonitor and update planned and reactive maintenance tasks within the ticketing systemEnsure all work is completed to an acceptable standard and close tickets promptlyLiaise with contractors and internal stakeholders to coordinate facilities workMaintain accurate CAFM records and support reporting and data analysis requirementsProvide general administrative support to the Facilities team as requiredContribute to continuous improvement of helpdesk processes and proceduresSupport other Shared Services roles as needed, demonstrating flexibility and adaptabilityQualifications and Skills:Proficiency in MS Office, particularly Excel and OutlookStrong written and verbal communication skillsAbility to prioritise tasks and work effectively under pressureExcellent organisational and planning abilitiesFlexible and adaptable with a proactive approach to problem-solvingDesirable Qualifications/Experience:Previous experience in facilities administration, helpdesk, or office support rolesHands-on experience within a facilities environmentExperience in fast-paced corporate, industrial, or multi-site environmentsStrong customer service orientation and relationship management skillsHealth, Safety, Security, Environment and Quality:Comply with all safety, environmental, and regulatory requirementsReport any incidents or breaches of policy to managementAdhere to company policies and procedures including document control and continuous improvement initiativesWhy Join:This is an excellent opportunity for a motivated and organised individual to join a dynamic Facilities team in Peterhead.
