JOB PURPOSE
Responsible for ensuring the smooth running and end to end event management of the company’s portfolio of events from planning to execution.
KEY RESPONSIBILITIES
EVENTS MANAGEMENT
Plan, co-ordinate, develop and execute sponsored events
Review and develop events to promote developing markets
Produce detailed briefs and proposals
Undertake contract negotiations for event partners, vendors, suppliers and participants
Liaise with marketing services to ensure the effective marketing of events
Report on event activities and results, developing reporting mechanisms and metrics
Lead project management, planning, budgeting, execution and evaluation of marketing events and activities
Co-ordinate multiple events/projects running simultaneously against tight timescales and manage events on site as necessary
Manage all pre-event planning, organising guest speakers and delegate packs, suppliers and all event logistics
Lead on the delivery of events including the management of the delivery partners and speakers, the venue and management of the delegates in terms of booking systems and procedures
Ensure that facilities, insurance, legal, health and safety obligations are followed including facilities for car parking, traffic control, security, first aid, hospitality and the media
Use the Company’s events management system to manage all events and invitations, developing and maintaining up to date records in-line with Data Protection regulations
FINANCIAL
Participate in developing the company’s strategic business plan including sales potential, revenue targets and success measures
Plan, forecast and implement the sales plan for events:
deliver the annual budgeted profit target.
deliver the annual sales targets
manage the costs of sales and cost of service within budget
Prepare figures for the annual budgeting process
Produce accurate monthly and quarterly forecasts and ad hoc MI as required
PEOPLE
To manage and develop direct reports
To undertake appraisals on all direct reports in accordance with the company’s appraisal process
To recruit, train and develop staff ensuring talent management and succession plans are in place
To proactively manage and drive a performance culture retaining the appropriate sensitivities for the industry
CONTRACT MANAGEMENT
To deliver an appropriate, high quality service to customers in line with individual contracts
To proactively manage queries and complaints
To maintain good relationships with members, stakeholders, competitors and associated organisations
To proactively drive a learning, no blame or recrimination culture where all complaints are reported and lessons learned
PERSON SPECIFICATION/REQUIRED EXPERIENCE
Graduate Caliber
At least 2 years in an events management role
Successful track record of managing finance and budgets, business growth, customer and client relationship management, operational implementation of new products and services and people
Proven commercial acumen, with experience of leading strategic plans to a successful fruition
Strong leadership and team building skills, able to motivate at all levels
CHARACTERISTICS
Highly developed commercial skills with the ability to drive and deliver financial objectives
Forward thinking individual capable of obtaining commitment and support across the business at all levels
Strong results orientation with excellent attention to detail and focus on quality
