Job Summary:

We are seeking a highly organized and detail-oriented Project Coordinator to join a business that specialises in events. The Project Coordinator will play a crucial role in planning, executing, and delivering a variety of events, ensuring that all projects are completed on time, within scope, and budget. The ideal candidate will have excellent communication skills, the ability to manage multiple tasks simultaneously, and a passion for creating memorable event experiences.

Key Responsibilities:

  • Assist in the planning and execution of events by dealing with the administration required.
  • Coordinate event logistics, including venue, transportation, and materials.
  • Work with vendors, suppliers, and stakeholders to ensure the timely delivery of services and products.
  • Maintain project plans and timelines.
  • Serve as the primary point of contact for internal teams.
  • Facilitate clear communication among all event stakeholders to ensure alignment on event objectives and deliverables.
  • Provide regular updates to the Project Director and other relevant parties on the progress of projects.
  • Monitor resource allocation and ensure that all necessary materials and personnel are up to date for events.
  • Support event setup, execution, and teardown, ensuring that all aspects run smoothly.
  • Address any on-site issues promptly and effectively to minimize disruptions.
  • Collate post-event evaluations from the Project Manager.
  • Support the team in ensuring the archiving of event materials and updating project documentation.

Experience required/desired

  • 2+ years of experience in event planning or project coordination
  • Strong organizational and multitasking abilities with attention to detail.
  • Excellent verbal and written communication skills.
  • Microsoft Office Suite (Word, Excel, PowerPoint).
  • Ability to work under pressure and manage tight deadlines.
  • Problem-solving and critical thinking skills.
  • Ability to work collaboratively in a team environment.
  • Strong negotiation and interpersonal skills.
  • High level of professionalism and customer service orientation.
  • Ability to adapt to changing priorities and circumstances.
