Job Overview
* Job Title: Executive Support Office
* Location: Huddersfield, West Yorkshire (Hybrid will be on offer of up to two days per week once fully trained.
* Employment Type: Ongoing Temporary (minimum 6 months contract, with potential for extension)
* Working Hours: Monday – Friday, 09:00am – 17:00pm
* Pay Rate: £14.17p/h
Key Responsibilities:
* Managing diaries and emails for the executive team to ensure effective scheduling and communication.
* Preparing for meetings by planning agendas, taking accurate minutes, and recording decisions as appropriate.
* Organising and coordinating meetings, including logistics and follow-up communications.
* Responding to correspondence as directed, using information gathered from relevant sources for accurate and timely responses.
* Screening visitors and incoming calls, redirecting as necessary to facilitate effective communication.
* Contributing to service delivery and improvement by promoting quality and customer service standards within the secretarial support function.
* Handling confidential and sensitive information with discretion and professionalism.
* Taking a proactive approach to workload and time management, ensuring tasks are planned and completed to meet targets and deadlines.
* Collaborating with team members to achieve collective objectives and providing support as needed.
* Demonstrating proficiency in Microsoft Office packages and adapting to new technologies and processes.
* Maintaining flexibility and adaptability to changing priorities and demands within the role.
Requirements:
* Experience in admin and executive support in a large organisation (diary and meeting management).
* Ability to plan and monitor financial resources.
* Understanding of political environments and sensitivity with Councillors.
* Experience in commissioning and monitoring goods/services.
* Knowledge of project management techniques and strong prioritisation skills.
* Proficient in Microsoft Office.
* Strong literacy and numeracy skills for documentation and reporting.
* Excellent customer service.
* Commitment to personal development and training.
* Flexible team player.
* Vehicle owner as travelling to other meetings as and when needed.
