Executive Roomspace Ltd operates serviced apartments across London and the South East. We're looking for an excellent administrator with a proven track record in a supervisory role. Experience in customer-relations and/or property management would be advantageous.

Hours: 37.5 hours per week.

08:30 - 17:00 or 09:00 to 17:30 dependent on the business needs.

  • Assuming supervisor responsibilities for our Guest Services team currently three members of staff
  • Carrying out the responsibilities below with the team and ensuring the team complete all necessary activities daily in good time and to the required standard
  • Handling incoming calls from guests, clients and bookers requiring information on apartments
  • Adding and managing the Issues Database of all ongoing property issues to ensure accuracy of information and timely resolution
  • Liaising with the clients and/or bookers of our apartments to get the arrival details of our guests
  • Running Arrival Reports and scheduling Meet and Greet Arrivals
  • Managing the allocation and return of keys that have been issued
  • Checking guests into apartments during busy periods
  • Running daily reports for all external housekeeping suppliers and the inhouse Laundry Department
  • Arranging contractor access to apartments when guests are inhouse
  • Managing the allocation of car parking spaces and permits
  • Allocating the weekly servicing and departure cleans of our apartments to our Housekeeping Team
  • Scheduling works for our inhouse Maintenance Team using our Operations software package.
  • Reporting to the Operations Manager weekly
  • Taking on the necessary administration for additional projects in the wider operations team

  • Proficient with the use of Microsoft Office including: Outlook, Word and Excel
