Book and advise patients of appointment following agreed protocols

  • Ensure patients are informed of their P Code status via post
  • Ensure lists are booked to full capacity as per agreed template, making suggestions as to any modifications to ensure smooth running of Cardiac Cath Lab based on demand
  • To assist in the production of waiting time statistics
  • First port of call for appointment queries, escalating any complaints to appropriate manager as required
  • Check in patients ensuring correct personal details are held in Cerner making any updates necessary to the records.
  • Status appointments once complete ensuring any further actions are undertaken in line with the Trust's Patient Access policy
  • Send out any relevant documentation to patients regarding their appointment and care.
  • Liaise with other departments/trusts where necessary.
  • Liaise with appropriate Medical Secretaries to resolve matters in relation to appointments.
  • Rebook patients who have had to be cancelled, or who cannot make the date originally given to them in line with Trust policies and guidelines.
  • Ensure documentation is completed and forwarded as necessary should patients admission be cancelled
  • Receive and acknowledge incoming referral letters to service and liaise with Consultants as required
  • Ensure appointments are booked within diagnostic and government guidelines
  • Liaise with Cardiac Cath Lab staff to ensure minimum stock levels of clinical and non clinical equipment
  • Deal with telephone queries

  • Coordinate full utilisation of procedure lists in conjunction with MDT availability for inpatients and outpatients
  • Create, book, admit and discharge TCI encounters for patients.
  • Arrange the booking, reception and follow up outpatient appointments
  • Complete all required documentation and computer records
  • Locate and request case notes as required and check for information regarding admission
  • Send out admissions letters and deals with all relevant enquires from patients, relatives and GP's etc.
  • Deals with any difficulties relating to the admission of the patient, referring to a higher level if required
  • Ensure clear communications with the consultant and their secretary
  • Ensure cancelled appointments are refilled where possible by reviewing the waiting list.
  • Ensure strict monitoring of patients waiting times, escalating if waiting times exceed 6 weeks i.e. targets to be achieved
  • Liaise with multidisciplinary staff regarding Consultants annual leave
