Senior Professional Support - Central Secretariat

Background

The Central Secretariat sits at the heart of the Financial Conduct Authority (FCA) and the Payment Systems Regulator (PSR). It is part of the FCA's Corporate Governance Division, led by the Company Secretary.

The Division

Corporate Governance Division comprises the following functions:

  • Central Secretariat (including the Conflict of Interests Policy Team)
  • Consumer Panel Secretariat
  • Decision-Making Committees Secretariat (DMCS)
  • Practitioner Panels Secretariat
  • Corporate Governance Division's Mission_
  • For the benefit of consumers, regulated firms and individuals, and staff of the

Corporate Governance Division:
_- facilitates informed, efficient and transparent decision-making and effective challenge_- assures compliance with good practice and the law; and_- builds external confidence in the FCA and PSR_

  • Our stakeholders include the FCA Chief Executive and Chair, executive directors, FCA and PSR staff, Boards and committees, and the independent panels._
  • We support them by:_ facilitating efficient and effective governance_ managing relationships with the wider FCA and PSR_ undertaking analysis and providing technical advice; and_ ensuring that decisions and inputs are recorded and considered or acted upon_
The Team

The Central Secretariat supports the FCA's senior executive committees, the FCA and PSR Boards and the FCA Board committees.

It is a fast-paced environment that provides an excellent insight into the day-to-day operation of the FCA and PSR and provides the opportunity to facilitate effective and efficient decision-making that will shape the future of the FCA and PSR.

The team is made up of associates and professional support staff.

The Role

The role is to cover a team member's 12-month maternity leave.

Key responsibilities of the post-holder are:

  • providing administrative support to one or more of the FCA's executive committees and/or the FCA or PSR Board, working with the associates appointed as secretary to the committee(s)-
  • liaising with your committee/Board members (often senior directors) and their offices on meeting arrangements and decision-making processes
  • scheduling meetings, arranging rooms and all other logístical planning for your committee/Board meetings
  • maintaining forward agendas and action logs for your committee/Board
  • liaising with stakeholders to ensure high quality committee papers are submitted to meet deadlines
  • compiling, collating and distributing committee papers to members
  • maintaining and extracting accurate MI from your committee/Board records
  • assisting the associates with follow up after meetings, including circulating action points and minutes and contacting stakeholders where necessary
  • updating and maintaining various committee lists to ensure compliance with the FCA's Cyber & Information Security policies
  • undertaking other administrative tasks as required in support of the secretariat's work

Skills and Experience

Minimum- Previous experience of providing logístical, diary and meeting support to senior stakeholders and/or committees- Strong organisational and prioritisation skills

Essential- Previous experience working in a role that required use of judgement to make decisions autonomously, knowing when to escalate- Strong communication skills, including communicating confidently and credibly, both orally and in writing- Ability to work flexibly and collaboratively as part of a team- Excellent stakeholder management skills, including evidence of the ability to interact with senior stakeholders in a professional and credible way and to influence a range of internal and external stakeholders- Proven ability to work calmly under pressure to tight deadlines and to juggle competing priorities- Excellent organisational skills, including the ability to plan carefully, prioritise effectively, track issues methodically and recognise when escalation is required- Sound attention to detail, including thoroughness and accuracy in day-to-day work and taking pride in ensuring it is of the highest standard- Proven ability to follow agreed processes, identifying improvements and escalating appropriately to ensure a cycle of continuous improvement- Excellent IT skills, particularly in Excel, PowerPoint, Adobe Acroba
