Department: Business Development Team
Reports to: Director of Sales and Marketing
Working hours: 40-hour week. Hours 'as required' to fulfil the role's duties & responsibilities
Location: London / Reading, including Hybrid working

Role Summary
We are looking for a talented, passionate, and motivated individual to join our team. Reporting into the Sales Director this individual will be responsible for organising, writing, and editing clear, compelling bids and proposals. The successful candidate will support and work closely with the Business Development team and commercial revenue streams in the preparation of high-quality bids and proposals to deadline, as well as developing and maintaining processes, tools and systems ensuring maximum efficiency, quality, service, and profitability for d&b solutions.

Key Duties and Responsibilities

  • To coordinate, prepare and compile proposal and bid submission documents in relation to tendering/bidding activities, tender questionnaires and pre-qualifications
  • Support departments and create a comprehensive library of up to date company information such as Insurance certs, policies and ESG data documents for approved supplier information requests/updates.
  • Logging Tender opportunities on the Tender log, and maintaining tasks and priorities to deadlines
  • Updating supporting Tender documents and templates
  • To organise and harness the efforts of all departments involved in the tendering and bid proposal activities and contract review
  • To coordinate customer's bid requirements within the dedicated departments and give support to all other departments with tender-related issues
  • Developing best practice systems and procedures, including bid tools, methods, templates and credentials data.
  • To collate tender information and references which are needed for submission from various sources such as online search engines, industry and market intelligence data etc. To monitor and ensure that tender submission due dates are strictly adhered to, including the checking, binding, packing and preparation of outgoing submissions
  • To ensure that tender submissions are standardised in terms of format, font, logo, etc. and in line with the company's branding guidelines
  • Work across all departments to ensure company policies supplied with tenders are up to date and prompt where review is required

Technical Skills

  • Solid understanding of proposal production and the bid process
  • Experience working within a Tenders' team
  • Commercially focussed with an understanding of the operations which impact a business
  • Ability to articulate proposals and understand business needs
  • Proven IT skills, including Microsoft Office (Word, Excel, Outlook), CRM, and sales software (experience with Salesforce would be ideal)

  • Ability to communicate with stakeholders at all levels to ensure that a successful bid comes together and is ready for submission.
  • Flexible hours will be required to meet submission deadlines with occasional out of hours work.

  • Excellent presentation skills both written and verbal.
  • Dependable attention to detail and accuracy.
