What you'll be responsible for:

  • Accurate typing of letters, reports, and adhoc typing, within agreed timescales (audio / copy typing), to ensure an efficient administration service is provided, maintaining a focus on the priority tasks.
  • Collate and manage referrals to the service, ensuring appropriate referral information is made available as required for the multidisciplinary team in a timely manner. This will include entering referrals onto the Trust's electronic health records system.
  • Arrange referrals meetings and adhoc meetings as required, booking venues, taking minutes, and ensuring appropriate circulation of draft / approved minutes within agreed timescales.
  • Receive telephone calls for the team and provide telephone cover at times of peak activity, receiving telephone calls from health care professionals, clients, and their carers some of which may be complex in detail. Communicate effectively with colleagues to ensure appropriate responses to queries and resolving issues. Provide telephone cover for other teams and medical secretaries when necessary.
The role will involve, but not be limited to you performing the above

You'll learn the following whilst working at the trust:

  • An in depth understanding of the roles and responsibilities involved in working within the NHS
  • Knowledge of the systems used, to effectively complete your role to the highest standard at all times
  • A sense of teamwork, gained through working alongside and supporting colleagues from all levels, within the organisation

You'll have the following skills/experience:

  • Excellent communication skills both written and verbal, fluent in the English language.
  • Excellent customer care skills, with the ability to manage difficult situations appropriately.
  • Good keyboard skills with accurate copy typing transcription.
  • Good I.T. skills including the ability to access and use a range of software programmes and peripheral hardware (e.g. printers, scanners).
  • Previous experience of working in an office environment.
