Overview of role


As part of the Business Services Function, the TfL Learning & Development team is responsible for the design and delivery of high-quality learning content, materials and programmes for employees across TfL.

The role of the Scheduling Administrator is to provide support enabling the key goal of the L&D team - Easy access to impactful learning.

In addition, the role of the L&D Scheduling Administrator is to ensure the efficient and smooth running of all administrative aspects of the delivery of learning.


A large part of our learning is delivered online, currently using Microsoft Teams - so an increasing part of the role involves helping to manage these events.

This role includes supporting bookings, scheduling, database management, training venues, preparing materials/resources, finance, evaluation, and collation of Management Information.


You will also help to drive continuous improvement initiatives and embrace change initiatives to perform in line with new processes and with appropriate governance.


Key Accountabilities

  • Support the delivery of learning and training programmes, manage delegate lists, joining instructions and evaluation processes, maintain and set up training rooms and online events
  • Design, develop and operate administrative and information systems, research sources and manage files and document retrieval systems
  • Schedule learning and development training events and programmes (managing trainer, room and resource allocation), booking/cancellation of delegates and ensuring that SAP records are kept up to date
  • Process correspondence, liaise with external suppliers to schedule training interventions, organise and service both arranged and adhoc meetings and manage all necessary filing
  • Organise and attend meetings, workshops and conferences, facilitate accommodation requests, coordinate audio visual requirements, ensure meeting speakers are clear on agendas and that attendees receive the agenda and materials in advance
  • Provide adhoc admin support to the L&D Lead where required
  • Contribute to driving required cultural attributes across the team including a focus on compliance and service delivery, customer service excellence, and a focus on controlled continuous improvement
  • Deliver on agreed performance metrics for L&D
  • Produce training materials and maintain appropriate stock levels
  • Support procurement activities for training

Skills, Knowledge & Experience (all required unless otherwise stated)

Skills

  • Strong attention to detail
  • Good communication skills with both internal and external stakeholders
  • Entry level ability of conducting data entry and maintenance
  • Ability to performance complex scheduling
  • Ability to use the systems required to administer learning (SAP, Microsoft Teams and Office 365)

Knowledge

  • Knowledge of Learning and Development processes across the employee lifecycle
  • Understanding of TfL learning management system (desirable)
  • Knowledge of the administration and set up of learning events including online events

Experience

  • Experience of working in a Learning and Development function
  • Experience of working in a Business Services environment
  • Administrative experience in a highvolume environment
  • Experience of organising meetings and events
  • Experience of stakeholder management and customer service
