Job summary:


Working under Air Command Media and Comms within a small Military/Civil Service team at RAF Northolt, this full-time position is responsible for elements of the coordination and allocation of RAF aircraft to fulfil requests from air show and public event organisers for flypasts and air displays.


This desk-based post requires excellent oral, aural and written communication skills to enable professional liaison with members of the public and defence personnel in the development of the RAF display teams' programmes and input to the flypast schedule for operational aircraft.

The position also provides guidance to event organisers on the civil and military regulations surrounding air displays and flypasts and will interact with the Civil and Military Aviation Authorities.


The position also has the responsibility within the team regarding the annual financial plan and raising of invoices for air displays through Corporate Purchase and Finance systems.

The position also has the potential for Line Management responsibilities for a CS E Grade admin post.

This position is advertised at 37 hours per week.

Job description:

As SO3 RAF Air Events Team you are responsible to SO2 RAF Air Events Team for:
a.

Assessing and prioritising of all requests for support by the RAF's established display teams to public and military events both in the UK overseas, working with the teams to compile their programmes for annual ratification.


b:
Assisting with the administrative preparations of the annual display programme for the annual ratification meeting.

c.

Ensure that all agreed display allocations are recorded accurately, allocations and contracts are issued to Event Organisers, and invoices raised where required.

Inform those events who are not allocated assets in a timely manner.

d.

In-year coordination and maintenance of the display teams' programmes including the progressing of post ratification display requests and staff through the relevant authority for approval.

e.

Input to and development of the Air Events Team Financial Plan including the sourcing and ordering of display related promotional material.

g.

Provide advice to display crews and event organisers on appropriate Military and Civil Regulations regarding flying displays and special events and offer guidance on the administration required for RAF participation at public events.

h.

Maintain close links with display teams, Military and civil Aviation authorities to assure RAF display and flypast activity is in line with current policy.

Attend at least one of the pre and post-season display symposia and attend a proportion of events potentially being assured by the Military Aviation Authority.

i. Management and improvement of the RAF Air Events Database through interaction with RAF Digital.

j.

Coordinate with the MAA and CAA to ensure compliance with the regulations regarding flypasts, identifying any flight safety issues and pass these along with details of other air activity to relevant RAF participants.

k.

Manage the allocation of display and operational assets to overseas events in coordination with Air Staff International in order to meet Defence Engagement priorities.

Through the relevant embassies, ensure the RAF participants are supported regarding administration and security and the Event Organisers are aware of their obligations.

l. Assist the Ceremonial Team with event support during busy periods and specified events.

Person specification:

Awareness of the capabilities of the current RAF fleet is desirable.


A good understanding of IT, including database and spreadsheet function is essential as much of the role involves the accurate storage and manipulation of data from requests received throughout the year.

An understanding of finance including budgeting and invoicing is desirable.

Confidence in making decisions and handling challenging situations.
