About the role


The Team Coordinator will be part of the Ad Net Zero team based in London which services the Global Group supporters and our expanding international chapters, including the UK and US.

The role will cover broad administration and marketing support, reporting into the UK Director.

Responsibilities include:

  • Coordinating and scheduling a range of meetings, with internal and external attendees, often across time zones including committees, working groups, introduction meetings, and member meetings.
  • Ownership of the administration and smooth running of all relevant meetings and speaking events including agendas, chair notes, minute taking, attendance tracking, and follow up actions, and inperson facilitation (tech, refreshments, greeting visitors etc).
  • Arranging national and international travel and accommodation for several members of the team.
  • In partnership with the commercial team coordinating the process for new supporter onboarding and the renewal of existing contracts contractual admin, invoicing, induction meeting scheduling, adding partner details to the website etc.
  • Ensuring the contact database is kept up to date, for all regions (Excel and our CRM database Zoho)
  • Creating personal itineraries for large scale events, including travel, hotel and event details.
  • Supporting the wider team with ad hoc promotional projects and tasks, including scheduling and recording basic videos.
  • Supporting the team to prepare and send the monthly newsletter, through Mailchimp.
  • Creating social media calendars and content and keeping the website up to date.
  • Scheduling and running webinar events.

Skills and Experience

  • Outstanding organisational skills with significant previous experience coordinating administrative tasks for a busy team, either as an EA, PA, team assistant or team coordinator.
  • Exceptional touchtyping ability able to confidently minute take in fastpaced meetings, providing accurate and timely notes for the team.
  • Experience coordinating international itineraries including travel and accommodation and booking meetings across time zones.
  • The ability to proactively manage their own workload, juggle a varied and busy task list, and diplomatically chase others when needed.
  • Firstclass admin skills and IT proficiency including Excel, Powerpoint and Zoom.
  • Effective writing and communication skills, particularly when speaking to clients / supporters.
  • Experience working with a CRM system/database.
  • An interest/understanding of the advertising industry.
  • A passion for understanding sustainability and climate action.

Terms of employment

Contract:
Temporary for one year


At present the Advertising Association is a hybrid working company, requiring employees to work in our Central London office three days a week.
