Administration Support

Role Overview


Responsible for a variety of tasks including but not exhaustive; general/site administration, filing, managing spreadsheet input, updating systems with documentation etc.

How will you contribute?

  • Raise and receipt ad hoc and contract purchase orders in Oracle Cloud
  • Investigate invoice queries to ensure prompt resolution
  • Liaise with Suppliers to resolve any issues that may affect supply of goods or services
  • Place orders via phone/internet
  • Liaise with the Operation Management team and Agencies to reconcile and approve agency hours
  • Place bookings for accommodation and travel using Agiito, our Travel Portal
  • Monitor levels and order consumable items such as PPE and stationery
  • Order uniform, maintain records and distribute
  • Reception cover to include greeting of visitors and post
  • Staff shop cover
  • Create, amend, and audit site access swipe cards
  • Filing of paperwork for Admin, Engineering and H&S departments
  • Distribute and record issue of site briefings
  • Enter H&S documents onto the AVA system
  • Produce and distribute reports to Senior and Operational teams Any other administrative duties as assigned by the Line Manager

  • Must be committed to providing a high quality, efficient and flexible service to support the operation.
  • Must be well organised and have good interpersonal skills
  • PC literate with the ability to use current software (Excel/Word/Outlook etc.)
