An exciting opportunity has arisen within the Surgery, Theatres, Anaesthetics and Endoscopy (STAE) Care Group for a Personal Assistant/Business Coordinator.


The post holder will be responsible for providing consistent and professional administrative and clerical support to the General Manager, Clinical Director, Head of Nursing and Senior Management team for STAE.

This will be a role with a variety of tasks and ad hoc demands and so the post holder will possess excellent time management and planning skills.


The post holder will also be required to provide operational support to the ENT service including validation of the PTL, supporting the recruitment processes and general administrative support to the Assistant Service Manager.


We are looking for an experienced, enthusiastic and motivated individual to join our friendly team to provide administrative and business support to the Surgical Management Team.


  • To lead on the administration of all governance meetings (five meetings per month)
  • To be actively involved in maintaining administrative systems, including networked information, electronic messaging, message books, filing and to be actively involved in preparation of data, presentations and reports using appropriate software packages in POWERPOINT and EXCEL as required
  • To arrange and participate in meetings, taking notes as required
  • Typing of general correspondence and reports
  • Creating and designing presentations using Microsoft Package
  • Proactive diary management
  • Take a proactive approach in planning and be responsible for organising multidisciplinary meetings and conferences/events management
  • Be actively involved in, as part of the administration team and to take minutes of, multidisciplinary, service, or local meetings and ensure consequent information is forwarded to all relevant parties
  • To be responsible for taking minutes for allocated meetings and managing post meeting action plans
  • To promote the role and use of information within the Unit/Dept/Care Group responsible for downloading reports to validate
  • To have overall responsibility for managing, maintain and developing the departmental filing systems (paper and electronic).

JOB SUMMARY:


The post holder will be responsible for providing consistent and professional administrative and clerical support to the General Manager, Clinical Director, Head of Nursing and Senior Management team for STAE.

This will be a role with lots of variety and ad hoc demands and so the post holder will possess excellent time management and planning skills.

This post will also require flexibility and a high degree of organisational skills.

The post holder will work independently and follow the policies and procedures for the Care Group/Trust.

The post holder will also be expected to use their own initiative and keep the line manager and senior colleagues informed.


MAIN DUTIES AND RESPONSIBILITIES:

Service Coordination:

  • To coordinate and organise the Senior Management team within STAE ensuring diary commitments are met
  • To support the Assistant Service Managers and Service Managers in developing and implementing policies and procedures designed to improve the service where applicable
  • To adopt and promote a culture of collaborative and cohesive teamwork within the Care Group
  • In the absence of the Assistant Service Managers, to liaise directly with the Service Managers concerning issues or problems
  • To monitor and maintain quality standards and initiate good office practices

Communication & Information Resources:
(including Governance)

  • To lead on the administration of all governance meetings
