SALES ADMINISTRATOR

  • 1. Business Background

  • The Business Operations Team performs the operational functions for the AdEPT Technology Group and consists of the following sections: Sales Administration, Business Administration, Provisioning, Contracts Administration.
  • 2. Role in Brief
  • Working within the Business Operations Team the role of the Sales Administrator is to support the Business & the Sales Team in executing the sales process through the quoting and order acceptance phase. Processing various products, services and solutions offered by the Group through the relevant systems.
  • Attention to detail, along with accuracy of data input into internal systems along with a polite and helpful attitude are also essential requirement for the role.
  • The responsibilities fall into the following areas:


Proactive Working
  • To always be thinking ahead of the future requirements of the Company and Customer, resolving issues as and when they arise in order to maintain the customers expectation.


Customer Service
  • Ensuring customers are provided with a friendly, professional, efficient service that meets current and future requirements. Customers always receive an outstanding service from the Company. (Evidenced through NPS)
  • Supporting the Sales Team
  • In producing quotes for customers as required and processing these quotes through to Sales Order on internal Company systems.


Quoting
  • Ensure correct information is captured by the Account Managers to produce comprehensive & accurate quotes to the customer.


Sales Order Processing
  • Validate and process accepted quotes through the Won Opportunity Process.

ROLE:
Sales Administrator

  • Classification: Job Specification Version 0.1 Page 2 of 3
  • Contracts Creation
  • Prepare and send contract documents appertaining to services sold.


General Administration
  • Distribution of incoming calls, inputting of data into the CRM System, organising deliveries and collections, supporting marketing campaigns and other general administration activities
  • Key Responsibilities
  • Supporting the sales team
  • Providing support to the Sales Team by working with the Account Managers to produce & send quotes to Customers within the agreed service levels. Assist in the validation and capture of the customer requirement accurately capturing the order details and validating against the standard requirement.
  • In some instances, assist in creating and updating sales opportunities.


Quoting- Obtain product information & pricing from various sources (i.e., specialist websites, distributors etc.), ensuring to maintain agreed margins, if not better them.


  • Prepare and send quotes using our internal systems, ensuring appropriate terms and conditions.
  • Ensure appropriate documentation is provided for standard orders being raised.


Sales Order Processing- On receipt of quote acceptance complete validation and process the requirement via the CRM into the appropriate tickets or Projects.


  • Ensure all appropriate supporting contract documentation is uploaded to progress the order into delivery phases.
  • Creation of basic project templates within our CRM and assignment of tasks to other teams within the company.


Contract Creation- Prepare and send contract documents appertaining to services sold and within the terms & conditions of the AdEPT Technology Group.


  • Upon receipt of signed contract, arrange for their counter signature, and process through the internal CRM system to allow for the onboarding process.
Customer Service

  • ROLE: Sales Administrator

  • Providing updates and support regarding customer queries on quotes and ensure accurate capture of the details required to log requests onto the CRM system for progression into the delivery phase.
General Administration- Ensuring Company policies and procedures are followed at all times.

  • Inputting of data into the CRM System, organising deliveries and collections, supporting marketing campaigns and other general administration activities.
  • Handling of phone calls and distributing them to the correct individuals.
  • Assist in Contracts Administration raising, amending, and editing on our CRM system (Autotask).
  • Manage the Central Bus
