We have an exciting opportunity available for a motivated and enthusiastic individual to join our friendly Procurement team in the Estates Office.


As a Procurement Assistant in Estates, you will work with procurement colleagues and alongside colleagues in Finance to provide high quality procurement and administrative support within a busy department.


You will have strong general administrative experience, with excellent IT skills (especially in Excel) and an aptitude to quickly learn new systems.

A good understanding of procurement processes would be advantageous, although not essential.

You will work to tight deadlines, and demonstrate excellent teamwork with colleagues across the Estates function and across the wider institution.


Although your IT skills and attention to detail will benefit you enormously in this role, your proactive attitude, enthusiasm and motivation will make you an integral part of our team.

JOB PURPOSE


To provide purchasing and clerical support and assistance within the procurement of a wide range of goods & services for the Estates Office.

Although the department sits under Finance, Resources and administration, this is not a finance post.

DUTIES & RESPONSIBILITIES

  • Manage query portfolio, create and amend SAP and OPeRa purchase orders, coordinate and disseminate documentation to critical deadlines.
  • Assist and support the Procurement Coordinators / Procurement Officers in negotiating prices and sourcing goods and services from approved suppliers, as well as cost analysis and benchmarking.
  • Cover for Procurement Coordinators, when required.
  • Cover for Estates Stores, including annual inventory, when required.
  • Investigation and resolution of GR/IR discrepancies and period end reports, problems/queries.
  • Filing and other general office duties.
