Job Description - Receptionist

ROLE IN PRACTICE
To provide comprehensive clerical support for Alderwood Medical Practice and to act as focal point for patients and the Practice Team.
MAIN DUTIES
- To respond to all queries and requests for assistance from patients and visitors at reception ensuring at all times that enquires from patients are efficiently and courteously handled.
- To ensure that telephones are at all times answered promptly and politely giving your first name at all times to the caller as a point of contact.
- To ensure that scanning, filing, record keeping and distribution of documents are undertaken efficiently and promptly.
- To ensure that the waiting area and leaflet stands are at all times kept tidy and leaflets are re
- To arrange appointments and send out recall letters for Chronic Disease (QOF) Clinics in line with requirements of the GP Contract.
- To check and put away deliveries of stock as and when required.
- To prepare post for posting and stamping private and confidential as and when necessary on letters, on a daily basis.
- To file all correspondence in appropriately on a daily basis.
- To take messages accurately and ensure that they are forwarded to the appropriate person(s) in a timely fashion.
- To prepare acute/repeat prescriptions for GP signature, ensuring
at all times you have taken the correct name, address and checked the date of birth of the patient if in doubt. - To deal with new patient registrations, ensuring the paperwork is completed correctly and inputting the necessary data onto computer.
- To advise patients of relevant charges for private services, accept payment and issue receipts if necessary.
- To photocopy information when required, ensuring photocopying is kept up to date
at all times. - To cover duties of absent members of staff as and when required including cover during tea/lunch breaks at reception as and when required.
- To attend practice meetings and any other staff meetings, at all times, as far as possible.
- To undertake training sessions at PLT, IG, and any on-line training as requested by the manager, to keep skills and knowledge up-to-date.
- Any other clerical/reception duties as deemed appropriate.
- To be flexible in the workplace in terms of hours worked as and when the need arises.
