Summary:

We are currently seeking an experienced Office Manager to join our client's dynamic team. As the Office Manager, you will play a crucial role in ensuring the smooth day-to-day operations of our client's office. Your responsibilities will include managing office facilities, coordinating administrative tasks, and providing support to senior management. This is a fantastic opportunity to work with a leading company in the legal and compliance management industry, known for its innovative solutions and flexible working arrangements.

Role Purpose:

As the Office Manager, you will work closely with the Head of Operations, Finance, and HR, overseeing various aspects of office management. From onboarding new staff to managing health and safety procedures, you will be responsible for maintaining an efficient and productive office environment. Additionally, you will provide valuable administrative support to senior management, contributing to the overall success of the organisation.

Job Description:

  • Keyholder of the office space, ensuring accessibility at all times
  • Act as the point of contact for the building landlord, addressing any issues promptly and effectively
  • Be the primary liaison for building management and vendors, coordinating facility maintenance, and overseeing office services
  • Manage office supplies inventory, ensuring optimal stock levels and cost-effective purchasing
  • Identify and liaise with suppliers for ad hoc office items
  • Oversee health and safety protocols, including risk assessments, safety measures, and staff training
  • Handle supplier inquiries and reception duties, including guest management
  • Manage incoming calls to the office landline and route them appropriately
  • Coordinate the onboarding process for new employees, including IT equipment setup and orientation sessions
  • Facilitate office events and meetings, handling scheduling, setup, and catering arrangements
  • Collaborate with In-House Legal to develop and maintain office policies and procedures
  • Provide administrative support to senior management, managing calendars, scheduling appointments, and preparing documents
  • Assistance with special projects and initiatives as assigned
  • Perform AP Finance Admin duties, managing suppliers and scanning documentation into the system
  • Support the team in their day-to-day activities in the new working environment.

Key Requirements:

  • Previous experience in office management.
  • Excellent communication and interpersonal skills.
  • Strong attention to detail and highly organised.
  • Proactive and self-motivated, able to work independently and under pressure.
  • Experience in coordinating office moves is a plus, but not essential.
