This is an exciting time to join as HelpAge International works with implementation partners to localise country offices and programmes in the next three years and develop new and diverse partnerships globally.

The Executive Assistant to the CEO will provide administrative support to the Chief Executive, work with the Senior Executive Support to the Board in carrying out their duties and support the Board of Trustees and the Leadership Group.

Key responsibilities

Support for Board and Committees: You will prepare meeting materials, coordinate logistics (flights, visas, accommodations), and manage expenses for Board members.
* CEO Support: You will oversee the CEO's calendar and inbox, booking meetings with staff and external stakeholders, prepare briefing packs, organise travel, including flights, visas and accommodation, manage expenses, and book meeting venues.
* Leadership Group Coordination: You will work with the Leadership Group to schedule meetings, take minutes, and arrange Executive Leadership away days.
* General Administrative Tasks: You will handle various administrative duties and undertake specific research or projects as needed.

The Executive Assistant to the CEO will have significant experience working as an administrative assistant to senior staff. It is essential that the successful candidate has experience in organising meetings and complex international travel. You will be able to exercise discretion, strong judgement and take appropriate actions without supervision. You will be confident to work to your own initiative and prioritise your workload. You will have excellent written and verbal communication skills. You will have advanced Microsoft Office skills including Word, Excel, PowerPoint and Outlook. You will be experienced in budget management with the ability to develop and manage effective administration systems.

The role is home based and will involve regular attendance, at least one day a week, in person at the HelpAge International office in London (Waterloo).
