Trainee Disbursement Accounts Assistant

Required Skills, Qualifications & Experience
- GCSE grade 4 or equivalent in Maths and English
- Computer literate
- Good communication skills
- The ability to work within a team and independently
- The ability to prioritise workload within strict guidelines and whilst under pressure
- The ability to follow instructions with a professional and positive attitude
Key Duties
- Assist offices with accountsbased queries confirming funds/invoices received and sales invoices produced.
- Sales Invoices: raising vessels FDA's, and sales invoices for charges incurred on behalf of owners, e/g light dues/storage charges etc. This may include specific owner requirements (retypes/max contributions) and Rebates.
- Purchase Invoices: processing invoices correctly (posting figures for charges correctly), also including the correct allocation for each voyage, making sure any credit notes are allocated as advised by suppliers.
- Chasing Suppliers for any invoices/credits.
- Send 'Outstanding' lists to local offices to assist with chasing suppliers and to keep them aware of which files are outstanding.
System error amendments
- Correcting any purchase/sales batch errors, also correcting any invoice/credit amendments,
- Process Petty Cash / cheque lists / Cash to Master, making sure accounts are up to date and paid for monthend,
- Keep uptodate with all inboxes.
- Checking and processing inhouse invoices adding supporting PDFS to reduce future queries.
