Position Overview:
We are on the lookout for a proficient Receptionist to join our London office. This role entails being present in the office five days a week, Monday to Friday from 8:00 am to 5:00 pm.

Responsibilities include:

  • Answer and screen incoming calls for the office in a friendly, efficient, and professional manner.
  • Welcome guests and ensure their timely announcement to the relevant individual, accompanying them to the designated meeting room.
  • Coordinate food and beverages for meetings as requested by the investment staff and/or executive assistants.
  • Manage meeting room schedules.
  • Ensure the reception area and conference rooms are well-organized and presentable.
  • Arrange transportation for guests and staff as needed.
  • Handle courier services and package deliveries.
  • Manage stationery, bottled water, and grocery orders, along with daily lunch arrangements for the team.
  • Maintain a consistent attendance record and punctuality, with flexibility for schedule adjustments if required.
  • Handle incoming and outgoing mail.
  • Support Associates with administrative tasks on a day-to-day basis.
  • Organize and maintain files, handle copying, mailing, and shipping requests.
  • Schedule meetings and calls using Outlook.
  • Process expense reports for reimbursement.
  • Coordinate travel arrangements, including flight bookings, hotel reservations, and car services.
  • Update compliance materials in the annual FCA Binder throughout the year.
  • Provide support for operational requests and other assigned duties.

Qualifications:
  • Excellent verbal and written communication skills with the ability to interact diplomatically and judiciously with management, guests, and vendors.
  • Prior experience in a corporate environment is preferred, with a bonus for financial services industry exposure.
  • Proficiency in MS Word, Excel, PowerPoint, and Outlook.
  • A university degree is advantageous.
  • Familiarity with Cisco IP Phone Series for phone systems is beneficial but not mandatory.
  • Prior experience with expense reporting in Concur is helpful but not necessary.
  • The Receptionist must maintain a professional demeanor and appearance as the initial point of contact at TA.
  • Capability to prioritize tasks efficiently in a dynamic work setting.
  • Self-motivated with strong organizational skills, attention to detail, and accuracy.
