Hours of Work: 40 hours per week - Monday-Friday


Reporting to the Warehouse Manager, the successful applicant will be required to conduct and oversee all administrative functions within the operations.

Document Control and verification of SAP transactions. To coordinate the onshore and offshore material controllers' holidays, cover, check-in times, hotel bookings, timesheets, and training.

Duties include:

  • Maintain accurate records, update ASCO tracking systems.
  • Check delivery documents (PO/Consignment notes/Backload/Disposal)
  • Investigate and expedite queries regarding documents (PO/Consignment notes/Backload/Disposal)
  • Provide administrative support to the cycle count team.
  • Stock return transactions/Bin to Bin SAP transfers.
  • Produce Stock Counts, Receipt PO and issue Material in SAP as well as SAP reports.
  • Raise transport requests through ILMS.
  • Check receipts paperwork from remote sites.
  • Control and monitor Daily Receipts and Temporary Storage trackers.
  • Archiving and document control recording
  • Source quotations, raise Purchase Orders and GRN using Purchase Order Process System, and maintain PO tracker.
  • Record and transcribe minutes of meetings.
  • Update records and coordinate training for all operational colleagues.
  • Monitor and collate timesheets for processing by payroll.
  • Maintain notice boards, remove obsolete information, and update as required.
  • Monitor CCTV and maintain video records, coordinate security arrangements.
  • Reception duties, greet visitors and clients, ensure all receive a site induction.
  • Create and communicate meeting minutes as required.
  • Muster coordinator duties.
  • Coordinate the onshore and offshore material controllers' holidays and holiday cover.
  • Raise warehouse and client purchase orders.
  • Create HSEQ scorecards.
  • Administer procedures, work aids, processes, timesheets and holiday record.
Ad-hoc duties as required in line with applicable training/competency assessments undertaken

Minimum Qualifications

  • Education to GCSE level or equivalent

Desirable Qualifications/Competencies

  • Previous administrative experience
  • SVQ Level 3 Business Administration
