Background:

Sanctus is a lifeline for the vulnerable and homeless in the city of Chelmsford and surrounding areas.

We provide a shelter from the cold with the aim of preventing loneliness and hunger for a vulnerable group within the community.

We offer a safe and warm café/day centre and Support Hub.

We provide daily hot meals, hot and cold drinks, food, clothes, toiletries, tents and sleeping bags and a wide range of training and support services from our Hub provision.

We offer the help and support to get people back on their feet and to make positive steps forward. We are rebuilding the community from the bottom up, person by person.

Role summary:

The role would have a primary focus of responsibility for Admin support across the charity. You will support the café manager, the hub support manager and finance manager with admin activities.


The role offers a real opportunity for someone to use their administration and co-ordination skills to make a real difference.

This is therefore a really exciting opportunity to be part of ensuring that Sanctus is a success. Your role will be instrumental in ensuring that Sanctus front line service continue to be effective and grow.

Required Background:

You will be someone who is compassionate and can represent and respect the ethos of Sanctus.

  • Excellent communication skills, both written and oral.

  • A proven ability to complete administration tasks to a high standard.
  • Good record keeping skills maintaining accuracy and clarity.

  • Good Microsoft product skills including Word and Excel.

  • Experience of developing and maintaining positive working relationships with key stakeholders across multiple organisations.

Key Responsibilities:

Administration Support

Key Tasks

  • Provide administrative support ensuring that staff are supported through efficient processes and administration systems.
  • Taking on administrative tasks from the management team to allow counselling and support time to be maximised.
  • Processing DBS checks, collecting required documents and monitoring processing status.
  • Counting donations received in line with defined processes.
  • Post on social media or other channels for updates or items to be donated or assistance to be given.
  • Coordinating volunteers to ensure suitable numbers are in place.
  • Compiling required data generating spreadsheets or other data sources for a fundraising bid, reporting progress or analysing effectiveness of support.
  • Maintain office supply inventory and order supplies as needed.
  • Answering the phone and dealing with queries or passing to be actioned.
  • Take on other administration tasks as required.

General

  • Maintaining required levels of confidentiality for information shared.
  • Maintaining confidential records.
  • Show everyone a high level of compassion and creating a supportive environment.
  • Sharing knowledge and good practice with team members and highlighting more efficient ways of completing tasks.
