Natspec is the membership association for organisations offering specialist further education and training for students with learning difficulties and/or disabilities.

Our vision is that all young people with learning difficulties or disabilities can access high quality education and training, which meets their individual needs and supports their aspirations for skills, work and life.


Our core activities are:

  • Supporting our members to raise quality of provision through events and guidance
  • Advocating for our members and influencing policy by representing members to government and promoting their work through articles, newsletters and social media
  • Supporting the wider FE sector with training, projects, partnerships and intercollege activities, such as Natspec Games and Student Parliament.

The primary purpose of this role is to support the administration requirements of the Natspec team and office, maintain efficient running of our internal processes and procedures, and ensure accurate and clear financial administration.

This role will also manage our general enquiries inbox.


We are looking for someone who enjoys a varied role and who would work well in a small, collaborative team.

You will be involved in many aspects of the organisation's activities and will be given full support to enable you to undertake a wide range of tasks.

Responsibilities

Office and business support administration

  • Provide administrative support to Natspec colleagues, subcontractors and associates
  • Provide support teamwide to ensure consistent processes and procedures across a range of services
  • Working with the Business Support Manager, and L&D administrator, develop and maintain a range of data collection and management processes, ensuring data is presented in a way that will allow management to conduct analysis and reporting
  • Support the Business Support Manager in improving data quality, functionality, and team usage of the CRM database
  • Daytoday maintenance of member and partner organisation information and contact details on the CRM system, liaising with college contacts as required.
  • Maintaining and updating password logs as required in line with security procedures
  • Working with other team members, input and maintain data required for tracking member engagement
  • Liaise with colleagues, clients and suppliers to prepare contracts, agreements, and schedules of work as requested by service managers
  • Support the Transform Manager with the coordination of the annual associate renewal of contracts in a timely and efficient manner, as well as supporting with any associate contracting required throughout the year
  • Undertake regular stock takes and order any stationery, equipment and supplies required for the national office or requested by the team
  • Ongoing management of the company asset register, ensuring clarity on where our assets are within the team
  • Schedule the weekly team meetings, providing administrative support where necessary
  • Management of the jobs board, posting jobs to the website and responding to queries
  • Set up and maintain company policies log, liaising with colleagues as reviews are required
  • Post management (incl. directory requests and occasional courier arrangements)
  • Provide cover of business support tasks for the Business Support Manager as required

Finance administration

  • Liaise with the finance officer to process expense claims, invoices, checking against agreed work and contracts and ensuring accurate logging of details
  • Working with the Business Support Manager, liaise with the finance officer to ensure financial procedures are implemented and efficiently maintained
  • Working with the L&D administrator and the Finance officer, manage the online payment system processes, escalating issues as required

Event support

  • Support the conference team to ensure a successful National Conference, providing administrative support in the months leading up to the conference, over the course of the two day event, and other administrative activities following the event
  • Assist the wider team during largescale online and inperson events, including principals' forum, Natspec Virtual Games, TechAbility Conference, and Peer Exchange Week
  • Working with the Transform Manager and associates, develop and implement a system to ensure training documentation is kept up to date
  • Be available to provide cover for online events if the L&D administrator is unavailable
  • Provide cover for the L&D administrator
