As a key point of contact for the team, the HR Administrator effectively manages electronic and physical employee files and documents relevant to the Human Resources Department.

The HR Administrator provide support with Recruitment, Payroll processing, data collection and ad-hoc HR administration tasks.

Main Responsibilities

Responsibilities
Supporting the recruitment processes in Wantage ensuring all necessary paperwork is completed:

  • Raise job requisitions
  • Post Job Adverts
  • Booking rooms and visitors
  • Scheduling interviews for line managers and HR
  • Support the administration of interview assessments
  • Sending interview invites
  • Keep recruitment databases updated
  • Undertake right to work checks and escalate any issues as appropriate.
  • Monitoring the Recruitment Inbox

HR support to the appropriate business units, including:

  • Administration of the leaver process: update tracking spreadsheet, liaise with line managers, administer leavers forms, organise exit interviews as appropriate, update HRIS (cascade and SAP), escalate visa or clawback actions as appropriate, retirement gifts administration of the Resource databases. Pro-rata holiday entitlements.
  • Administration of long service awards
  • Support the administration of changes (change of role, change of hours, etc): draft letters, process change notices, update HRIS (Cascade and SAP)
  • Ad hoc support.

Payroll administration:

  • Update payroll movements spreadsheet with starters and leavers and share New Starter Payroll forms with HRO.
  • Supporting the administration of inhouse training courses, ensuring appropriate documentation is received and that invoices can be matched up and paid.
  • Supporting the administration within Occupational health system: Keeping system up to date with staff movements and arranging appointments as needed.
  • Processing of orders/payments for other adhoc arrangements e.g. training, Verifile checks general invoices.
  • Support the HR team in building report on Cascade and SAP
  • Monitoring all the HR Shared mailboxes
  • To partake as required in specific project work relating to human resources best practice in order to inform and/or improve practices within the department.

Required Experience

  • Previous experience of administering high volume recruitment processes, including posts at Senior Management level.
  • Ability to construct clear and accurate recruitment and other HR documentation.
  • Previous experience of delivering general HR administration
  • Proven ability to administer multiple processes simultaneously
  • Excellent time management and administration skills
  • Good written and verbal communication skills
  • High level of accuracy and an eye for detail
  • Able to work effectively as part of a team

Desirable Experience

  • Working towards your CIPD qualification Level
  • Experience using SAP and Cascade
  • Previous experience of using online recruitment sites
  • Good analytical and problemsolving skills
