Cerca Magnetics Limited (Cerca) was founded in 2020 and works in partnership with The University of Nottingham and Magnetic Shields Limited. The team have commercialised the world's most advanced functional brain scanner - a lightweight wearable device that uses Optically-Pumped Magnetometers (OPMs) to measure the magnetic fields within the brain. Unlike other scanners such as MRI's, our system can be worn by both adults children as the participant can move about whilst being scanned. The information provided could contribute towards medical advances in treating epilepsy and other neurological conditions such as mTBIs and dementia. We are currently working towards gaining medical approvals for use in epilepsy diagnosis and treatment.


Following initial sales in the research market, Cerca's vision is to offer the system to healthcare providers around the world and revolutionise functional brain imaging; to make a real difference to those that suffer from debilitating neurological problems.

We share a dream of contributing towards the treatment of a young child who instead of facing a life suffering from daily epileptic seizures, could live their life free from the condition.


Due to these ongoing and exciting growth plans, Cerca are now currently recruiting for an
Executive Assistant to join the team.

The opportunity is to not only join the Company in a very busy, interesting role but also to influence the direction of the position and Cerca itself as it continues to expand.


Executive administration duties

  • Booking all travel for the Directors and senior leadership team to agreed deadlines and budgets including the coordination of complex local and international travel arrangements, visas, flights, hotels, hire cars, etc.
  • Organising and maintaining complex calendars using a high level of tact and integrity, including scheduling meetings and conference calls across different time zones and different channels (including face to face, online, etc)
  • Complete Director and senior leadership teams expense claims
  • Managing the logistics of key meetings, including room reservations, catering requirements, production of meeting materials including presentations and reports. Meetings include senior leadership team and board meetings, customer and supplier meetings and key internal meetings
  • Managing and maintaining action tracking throughout the business both in internal and external meetings
  • Handling all confidential correspondence and data to ensure a professional standard of response
  • Marketing literature input
  • Providing additional general admin support as and when required
  • Providing additional support to large projects
  • Be available to attend some out of hours international calls with customers

Company administration

  • Organise and maintain all aspects of the company's administration
  • Maintain the company's credit cards and expenses
  • Assist the finance department etc. with invoices & PO's, annual company renewals and official documentation, including insurance renewal processes and reporting
  • Assist with maintaining and updating company documentation
  • Any other reasonable duties as part of this role
  • Ensure that the office runs smoothly and is managed correctly in all areas of administrative and facilities support
  • On boarding and off boarding employees, assisting with HR administration

Essential skills:

  • Relevant business management/administrative qualifications
  • 25 years experience Executive Assistant experience, with demonstrable experience of ability to multi task in a busy environment
  • High level IT skills in all word packages
  • Experience of basic finance related administration
  • Strong verbal and written communication skills
  • Natural organisor able to work to multiple deadlines and work well under pressure
  • Excellent administration skills and attention to detail
  • Able to work independently and also to support the team
  • Ability to take ownership and resolve issues, prioritising where necessary
  • Proactive and flexible in approach, positive in attitude
  • Ability to interact in a discreet, professional and diplomatic manner
  • Smart in appearance, able to represent the Company in a professional manner
