Band 3 Admin Assistant 37.5 hours per week

This is an exciting opportunity to join the Virtual Ward Team as an Administration Assistant at band 3 level. This is a new service which aims to provide a high quality patient focussed service.

This role will be crucial to the efficient day to day delivery of the service.

The team comprises of Nursing staff, Medical Staff, administration staff and ward staff. This is a permanent position working 37.5 hours each week.

The successful applicant will need to be transferred to another department once the funding ends.


The post holder will be responsible for providing effective and efficient clerical and administrative support to the Respiratory Virtual ward.

The role will involve the coordination and implementation of office procedures and will require a high degree of organisational skills and excellent working knowledge of NCIC trust administrative systems.


The post holder will often be the first point of contact and a focal point for the service requiring clear communication and liaison skills.


They will be responsible for managing and prioritising their own workload and will be required to use their own initiative.

Brief duties are noted below but please see attached job description for full list of duties:

  • To use a variety of software packages such as Microsoft Word, Outlook, PowerPoint, Excel, Access etc to produce correspondence and maintain presentations, records, spreadsheets and databases.
  • To devise and maintain office systems.
  • To maintain and update websites and internal databases.
  • To attend meetings, taking minutes and keeping notes.
  • To liaise with staff in other services and with external contacts.
  • Responsible for some elements of data analysis related to the Virtual ward
  • To provide data analysis as requested to help the Team Lead and senior management team to review NCIC, ICB and NHSE requirements of the Virtual ward
  • The post holder will be responsible for supporting the Team Lead in collating clinical performance reports related to the Virtual ward

Standard Check:
£18 + Administration cost of £3.85 = £21.85. Deducted at £6.85 from 1st month salary and £5 deducted from salary over following 3 months.

Enhanced Check:
£38 + administration cost of £3.90 = £41.90. Deducted at £11.90 from 1st month salary and £10 deducted from salary over following 3 months.
