The Rents and Voids Assistant handles the administration of all tenants and rent data within Octavia's core business systems.

They will supply an administration function for the Voids and Allocations team for all lettings functions such as Locata and mutual exchanges as well as voids invoicing.

They will work closely with the teams within Income, Allocations and Homeowner and customers to manage expectations being a first point of contact for the organisation.


Key Responsibilities

  • Set up new tenancies on core systems ensuring correct tenancy and customer data
  • Interrogate and analyse data ensuring all properties have charges that are in line with tenancy agreements, leases, and contracts of all tenures
  • Work with the Finance and Allocations functions to prepare correct information on the rent and service charges for new tenancies
  • Lead on the administration functions with advertising new lettings with our core partners for all tenures. These will be not inclusive of Locata, Local Authorities, Partner Agencies, Real Estate Agents, and professional bodies
  • Lead on the administration of tenancy changes within Octavia including mutual exchanges, overcrowding initiatives, and internal transfers
  • Process invoices relating to void properties such as Council Tax and Utility Bills
  • Assist Finance in liaising with external auditors, supplying resolution of queries relating tenancy data

  • Champion the use of all digital systems
  • Inform work plans, policy and service reviews, strategies, and projects and positively take part in project groups and other corporate activities
  • Role model commitment and adherence to Octavia's diversity, and health and safety policies
  • Ensure excellent relationships with external stakeholders such as Local Authorities and other agencies are developed and supported

Experience

  • Experience of administration within a housing function and to display the knowledge of the key lettings' functions within social housing
  • Experience of processing invoices within financial systems
  • Experience of processing complicated data and keeping comprehensive records to support informed data analysis

Knowledge

  • Understanding of the issues faced by social housing tenants or experience of customer services
  • Demonstrates the ability to put customers at the forefront of our service
  • An understanding of any relevant legislation, best practice, or external factors in relation to social housing specifically rent setting and new lets

Qualifications / Skills

  • Excellent IT skills
  • Selfmotivated, able to exercise initiative with minimum supervision. Strong interpersonal skills
  • Flexible approach comfortable working in a small team
  • Good timemanagement skills able to plan own workload and meet deadlines
