Job description:

  • The Security Services Group (SSG) provides specialist electronic and physical security advice, compliance. assurance and services to areas of the public sector that require the highest levels of security protection. SSG is the Government's provider of expert design, installation and maintenance of the highest accredited security systems using both "inhouse produced products and those commercially produced and approved for use on the government estate.
  • Comprising of around 230 civil servants and based at locations throughout the UK and Overseas, SSG's services are provided to the most sensitive Defence and Government sites.
  • The post holder will provide administration support to the South West Operations team in relation to the installation & maintenance of security systems ensuring a professional, efficient & costeffective service is delivered to SSG's customers. The successful applicant will be the point of contact for customer call outs, logging of calls on SSG maintenance system (CASH); allocating calls to SZ4 Technicians, closing jobs, quoting customers and raising invoicing to clients in accordance with desk notes; raising requisitions for goods (parts/access hire/clothing/PPE etc.); input of operations' staff time sheets onto the SSG finance system (SAGE); filing; project archiving & general office administration.
  • The position advertised will be based at Shrivenham Defence Academy. There will also be occasional requirements to travel and work within the various SSG offices as part of the role. You will be provided with the use of a hire or "pool" vehicle or car share for travel, together with opportunities for overtime and travelling time depending on business needs.

Person specification:

  • Support the Operations Team in efficient tracking of Installation, Maintenance Jobs & Site records.
  • Raising invoicing to customers in accordance with desk notes & relevant contracts and/or Service Level Agreements (SLAs).
  • Raising requisitions using SSG's E-Reqs system in respect of parts, access hire, clothing/PPE and calibration of test equipment.
  • Receipting of goods/services received on E-Reqs system.
  • Input approved timesheets onto finance system (SAGE) for operations' staff.
  • Support the Operations Team in the efficient running of the regional office (CASH)
  • Point of contact for customer call outs (including Facilities Management Companies and OGDs)
  • Logging calls onto CASH system & allocating calls to Field Technicians (FTs)
  • Closing jobs on CASH system, provide quotes to customers
  • Followup action on customers for outstanding covering orders for call outs
  • Logging calls onto customer AMS system & updating maintenance activities
  • Job enquiries provide updates to customers as required on outstanding/completed jobs
  • Followup action on FTs for delayed/late reports/dockets
  • Providing filing and archiving duties, maintaining SSG Project Documentation Received Records
  • On site day to day liaison with customers.
  • Equipment serviceability point of contact, i.e. laptop, sim card and mobile phone.
  • Ordering periodic consumables for the Engineers i.e. vehicle oil, ADBLUE, CCTV cleaning equipment.
  • Attend project meetings and take minutes/record of decisions
