Bookkeeper / Accounts Administration

Reporting to:
General Manager

Background of Company:

Phoenix Organics Ltd is a wholesaler of UK and imported organic fresh fruit and vegetables.


We specialise in supplying organic fruit and vegetables to home delivery box schemes and independent retail outlets throughout the United Kingdom.


We pride ourselves on our high levels of customer care, quality produce and a commitment to ethical values and honest trading practices supporting organic agriculture in the UK.


Main purpose of job:

  • Accurate and efficient management of the Phoenix accounts
  • Ensuring payment of all customer invoices within the company's terms
  • Ensure payroll company provided with monthly information accurately and promptly
  • Weekly and monthly sales and expenditure reports
  • Ad hoc reporting as and when required

Responsibilities, duties and tasks:

Accounting

  • Process and pay invoices on Xero
  • Complete and submit tax returns, VAT returns and NI contributions
  • Liaise with Phoenix appointed accountants and auditors to prepare the financial information for end of year accounts
  • Check UK and overseas invoices against QC's and enter onto Xero
  • Enter BACS receipts onto Xero
  • Make BACS payments to UK and overseas suppliers
  • Bank reconciliation for Phoenix accounts
  • Administer petty cash and balance customer cash till
  • Accruals and repayments and associated spreadsheet
  • End of month customer statements
  • End of month stock journals
  • Provide weekly and monthly sales and expenditure reports

Phoenix Organics

Credit Control

  • Taking a proactive role in managing and collecting overdue invoices and debts
  • Evaluating new credit requests and setting up terms and conditions of credit
  • Processing and reconciliation of invoices to Xero
  • Checking and posting receipts onto Xero

Payroll

  • Provide monthly timesheets and any expenses for relevant staff to the payroll company
  • Provide P45's, new starter details and pension scheme details to the payroll company
  • Provide monthly pension details to Peoples Pension

General duties:

  • To undertake any other work as reasonably required to assist Phoenix Organics

EXPERIENCE/KNOWLEDGE:

  • At least two years experience in accounting and bookkeeping
  • At least two years experience of operating Xero accounting system
  • High level of knowledge of Excel, Outlook and Word

Job Type:

£25,000.00 per year
