At Oakhill Secure Training Centre we look after young people aged 12 to 18 years old who have been remanded or sentenced to periods of detention.
The vulnerable young people in our care can be challenging with a wide range of social and emotional complex needs.
This is an environment that calls for high standards of social care and service delivery to provide a secure and stable environment for young people to develop their life skills and address the behaviours that have led them into custody.
Oakhill Secure Training Centre works closely with the Youth Custody Services to ensure that its regimes and designs reflect best practice in residential care to prevent offending.
An opportunity has arisen for an Administrator to join the team at Oakhill Secure Training Centre to work as part of the on-site Facilities Management team providing a customer focused helpdesk.
With excellent administration and organisational skills you will provide an effective and efficient administration service, ensuring the smooth running of the FM department.
Key Responsibilities:
- Manage own workload to ensure that managers and contract timescales are met
- Plan workload effectively to ensure that deadlines are met
- To work as part of a team to ensure that the helpdesk is covered at all times.
- Contribute to company objectives by meeting own performance objectives.
- Purchasing of all necessary items for the department
- Set up subcontractor contracts using all processes and systems already established.
- To maintain contract documentation and filing systems to ensure compliance.
- To order and maintain PPE records.
- To have a good understanding of the contractual requirements.
- Provide general admin support for line manager.
- To prepare quotations for client in line with established process.
- To receive and monitor all helpdesk calls through our CAFM system.
- To run reports for the hard services team and follow through on outstanding jobs to meet target deadlines.
- To deal with invoice queries and ensure smooth approval and payments.
- Develop effective relationships with all customers and clients.
- Adhere to company values.
- Adapting to change well in an evolving business.
- Working closely with hard services team to provide a proactive service for their requirements.
- To ensure compliance at all times but in readiness for the numerous audits we encounter.
- To maintain annual leave records.
- To undergo any training as and when required.
- Tasks within their skill set required and directed by your line manager.
- Attend meetings to take minutes and distribute these in a timely manner
Essential Skills:
- Experience within an FM environment.
- Excellent Organizational skills
- Good communication skills and the ability to handle issues of high sensitivity
- A good administration background services.
- Good Team working.
- Ability to work to tight deadlines and targets.
- Excellent communication skills both verbal and written.
- Good working knowledge of Google.
Desirable Skills:
- Resilient and able to work well on own initiative while under pressure, meeting tight deadlines while balancing a number of priorities.
- IOSH managing safety
- Working knowledge of concept evolution.
- Working knowledge of SAP & ARIBA.
