Job summary

We have an exciting opportunity to join the Gastroenterology, Hepatology, Respiratory and Diabetes and Endocrine (GRaDE) Rota Team. We are recruiting to a Rota Coordinator post to provide comprehensive support to our medical staff across Gastroenterology, Hepatology, Respiratory and Diabetes and Endocrine (GRaDE). This is a fast-paced Job in a small supportive team that will give you an opportunity to work with colleagues across a range of specialties.

The role will involve maintaining accurate spreadsheets, managing medical staffing, monitoring clinics, and communicating with colleagues. You will work closely with medical and administration staff in Respiratory Medicine, Diabetes & Endocrine and Gastroenterology & Hepatology.

Main duties of the job

To provide comprehensive support to the Senior Rota Coordinator and medical staff across GRaDE. In particular managing medical staffing on a daily basis as well as working on Lorenzo and manging clinics.

We are looking for an enthusiastic and highly motivated individual to take on this role. The successful candidate will have excellent organisational and communication skills, strong IT skills, a flexible approach to working, administrative experience and the ability to work autonomously.

Education and Qualifications

Essential

GCSE (or equivalent) in English and Mathematics, at grade C/4 or above NVQ Level 3 in Business Administration or demonstrable experience ECDL or demonstratable advanced skills and proficiency in the use of Microsoft Office, including a combination of Word, Excel, PowerPoint and Teams

Experience

Essential

Experience in an administrative role within an office environment Experience of working with rotas/staff management Excellent communication skills including the ability to communicate with staff at all levels Experience of databases/spreadsheet management

Desirable

Experience of working within a complex multi-disciplinary NHS environment and planning healthcare services

Personal Qualities

Essential

Highly organised and efficient. Excellent time management skills

Skills and Knowledge

Microsoft Office skills at intermediate level - Word, Excel and Outlook, demonstrated by short courses or relevant experience Excellent organisational skills, along with the ability to prioritise your own varied workload and meet deadlines Ability to make quick decisions independently understanding the impacts of these decisions Ability to work as part of a team, yet also have the ability to act on own initiative and to specific instruction Able to work under pressure and in a busy environment, whilst remaining calm and polite Willingness to work flexible hours to meet the requirements of the service
