Receptionist

37.5 hours per week

We are now seeking an experienced receptionist to join our friendly and professional Outpatient service.


Outpatient service is a busy and friendly place to work; it is across seven areas and applicants will rotate between all outpatient areas as required.

The working hours are Monday to Friday from 08:00 to 17:00 with one evening shift of 20:00. You may be required to cover some weekend clinics on a rotational basis.

Our local patient surveys and friends and family test praise our reception staff as being caring, professional and welcoming. Our services cover the full spectrum of clinics including minor surgery, medical, surgical clinics.

Our focus is on providing an exceptional patient experience, delivering excellent customer care to patients and their families, we aim to see patients within half an hour of their appointment time and if this is not possible then receptionists have to communicate any delays to patients to lessen their anxieties.


Working with us offers experience in developing customer care skills, working with a multi-disciplinary team, multi-cultural patient group and offers training in relevant IT systems.


Successful applicants must have the following:

  • Experience as a receptionist in GP surgery.
  • Experience in Outpatients setting.
  • Experience in a role that delivers a high standard of Customer care.
  • Confident in using Microsoft office.
Job Summary

  • To work as part of the outpatient team, the post holder will be involved with reception duties across various locations.
  • To perform supporting clerical duties to ensure smooth patient journey within Outpatients and to ensure clinics are cashed up promptly.
  • To deal with telephone queries in a polite and professional manner and to follow up on any associated actions accordingly.
  • Preparation of medical records in advance, ensuring that all relevant patient information and documentation are available for the consultation.


The Hillingdon Hospitals NHS Foundation Trust is the only acute Hospital in the London Borough of Hillingdon and offers a wide range of services including accident and emergency, inpatient care, day surgery, outpatient clinics and maternity services.

The Trust's services at Mount Vernon Hospital include routine day surgery, delivered at a modern treatment centre, a minor injuries unit and outpatient clinics.

Main Duties & Responsibilities

  • To receive patients in the clinics, providing information and direction to them where appropriate. Keeping patients informed of the clinic's progress and any changes occurring.
  • To ensure that all patient activity for each clinic is correctly recorded on the Patient Management System according to departmental policies and procedures.
  • To ensure that all patient information, such as demographic details and General Practitioner details etc. are correctly recorded on the Patient Management System.
  • To be responsible for the booking of appointments, amending patient appointments in line with the needs of the patient, where possible.
  • To ensure to follow trust guidelines with booking of all appointments.
  • To ensure clinics are cashed up as per trust policy.
  • To provide quality, courteous and personal care to all patients attending clinics.
  • To remain calm and friendly during busy reception duties.
  • To be responsible for the timely and efficient preparation of patient records in advance of clinic in accordance with departmental policies and procedures.
  • To ensure that results of all investigations, reports, correspondence, x-rays etc. are available for the eyes / ENT clinics and files appropriately in the relevant patient record.
  • To ensure that any missing casenotes, results etc. are reported promptly to both the medical records team leader and the nurse in charge of the clinic.
  • All casenotes are tracked according to trust guidelines.
  • To act as part of the clinic
