The post holder will be responsible for ensuring the effective day to day administration and
co-ordination of clerical procedures concerning outpatient clinics in line with National Policy and locally agreed guidelines.
Specifically, the post holder will ensure that departmental systems and
working practices involving the management of outpatients keep pace with
organisational development activities.

The Infectious Diseases Admin team at UHL are looking for a part time clinic co-ordinator working over 3 days, Monday, Tuesday and Friday at Leicester Royal Infirmary (must be able to work until 6pm on occasion)


This is a varied and interesting role and you will be responsible for the flow of patients through the outpatients department and the preparation of medical notes, booking and cancelling of appointments.

You will also be working very closely with the ID consultants and nurse specialists.


You must possess excellent communication skills, working with deadlines and accurate keyboard skills are essential qualities that we are looking for.

To manage Infectious Diseases clinics from a clerical perspective, liaising with patients, carers and staff of all levels, including medical staff.

To be responsible for the efficient administration of outpatient appointments, from initial referral to patient attendance and finally discharge from clinic where appropriate.

To provide effective clinic management for an agreed number of outpatient clinics for Infectious Diseases.

  • Ensure high standards of data entry are achieved and sustained across the service, for both paper and electronic recordkeeping
  • To make up appropriate hospital notes for patients who are new to the Trust
  • To be responsible for the preparation of case notes for Infectious Diseases Outpatient Clinics in line with consultant guidelines and departmental procedures
  • To be responsible for transferring clinic case notes to the appropriate destination using the Trust notes tracking system, internal procedures and ensuring any HISS clinics are completed
  • To ensure all case notes and patient records are maintained in good order and condition
  • Be responsible for implementing national, regional and local initiatives relating to performance targets and comply with the Patient Access & Data Management Policy
  • Work closely with the nursing and medical team and be part of the wider administration team, providing crosscover as and when required
  • To provide an efficient telephone helpline service to patients, carers/family and health professionals
