Purpose


The Technical Administrator will be accountable for supporting management in organising and controlling the activities of production which includes generating, updating, monitoring, and distributing production documents.


Key Responsibilities

The Technical Administrator requiresof this job position can vary depending, however, the duties would typically include.**
Administration

  • Document control and filing (electronic)
  • Posting notices and updating notice boards
  • Arranging meetings and taking minutes writing them up with action trackers
  • Maintaining action trackers
  • Coordinating quotes against running project costs
  • Liaison with others for VIP visit site preparations and subcontractors
  • Coordinating Supplier visits and attendee lists
  • Coordinating meetings with external agencies
  • Update Action Tracker.
  • Control of all training and updating of records
  • Update all Holiday & Sickness & Absence records.

Technical

  • Helping create and maintain a management system, policies, procedures, risk assessments etc
  • Creating a folder system for an asset managing system and populating it from or with existing folders apx 100 and 1000 documents
  • Administrating incoming job requests and call outs to breakdowns
  • Running a job list on our intranet so people can check to see what is happening with their job requests
  • Updating a running calendar of dock operations and occupations
  • Liaison with Purchasing for updates on equipment orders
  • Liaison with Finance to give budget spend updates
  • Liaison with HR to arrange training
  • Helping write role profiles and job adverts
  • Managing and uploading information to our intranet data hub
  • Ensuring all information on the IMS (integrated management system) and HUB are up to date and valid
  • Creating an electronic and printed quarterly newsletter for site and facilities to update the workforce on what the team have been up to
  • Helping to update and maintain a rolling 5year asset management plan
  • Creating Power Point presentations of Budget spends, Asset conditions, business case studies, statistics for energy and waste savings.
  • Formulate weekly site & Facility Bulletin & Develop
  • Update weekly progress reports and communicate.
