We are taking part in the national 4-Day Working Week - 3-day weekend, EVERY weekend

JOB PURPOSE:


As part of the People Services team, People Systems Administrator will act as the first point of contact for all People system and data related enquiries.

They will provide an efficient and comprehensive system administration support, produce people matrix reports as and when required.

This role will ensure thorough administration of the HR database and benefits system and ensure all regulatory requirements are adhered to.

KEY RESPONSIBILITIES:

  • Provide detailed support for all People related policy, procedure and system enquiries ensuring queries are resolved, sign posted or escalate accordingly.
  • Provide administrative support for all systems related queries and processes. These duties will include, but are not limited to;

Cascade

  • Creating Workflows
  • Data Importing
  • Screen Design
  • Reporting
  • Job and Salary Changes
  • Document Management
  • Access queries
  • Troubleshooting

Vista

  • Managing the dashboard
  • Reviewing daily error log
  • Resolving basic benefit queries
  • Ensure effective diary management and attend any team meetings or conference calls as required.
  • Take responsibility for personal filing and manage any departmental filing as and when required.
  • Attend/complete mandatory training identified for the role.
  • The post holder will be expected to assist the People Administration Team particularly during busy periods or when colleagues are on leave

The tasks include:

telephone answering and transferring to the relevant staff member, HR inbox monitoring, greeting guests as they arrive to the building, franking outgoing post and collecting incoming post.


  • Supporting in maintaining data accuracy across all systems

STANDARD RESPONSIBILITIES:


There are a number of standard duties and responsibilities that all employees, irrespective of their role and level of seniority within OFG Group are expected to be familiar with and adhere to.


  • Leads, manages, and participates in an annual performance review programme
  • Works, always, in accordance with the policies and procedures of the OFG Group and statutory regulations applicable to the Group.
  • Observes, always, strict rules of confidentiality appropriate to the post.
  • To always comply with the requirements of Health and Safety Regulations to ensure their own wellbeing and that of their colleagues.

EXPERIENCE, SKILLS & QUALIFICATIONS:

ESSENTIAL

  • Experience as a systems administrator, HRIS administrator or similar role.
  • HRIS system expertise
  • Excellent organisational skills to manage a significant number of tasks with strict deadlines.
  • Excellent Communication Skills
  • Good working knowledge of Microsoft Office packages such as MS Word, MS Excel, MS Outlook.
  • Accurate with high attention to detail
  • Effective team member and able to provide cover for and support to other team members.

DESIRABLE

  • Cascade experience
  • Benefit administration
