Job Summary

We are in need of a Practice Manager with exceptional interpersonal and leadership skills, who is approachable, team-oriented and will promote excellent team and collaborative work with the PCN, locality and other stakeholders.

The partners are open to transformations and are keen on developing future systems and identifying opportunities that enhance exceptional patient care. Therefore, skills and experience in business development are essential.

Ideally, we seek individuals with experience in general practice or those who can exhibit skills and experience in HR, compliance, business development, and change management.

The role is either full-time or 30 hours per week spread over 4-5 days.

Main Duties of the Job

The role involves ensuring the practice runs smoothly, handling HR, compliance, overseeing premises management, developing new systems and procedures. We are seeking someone with solid knowledge and experience in these areas.

About Us

We have a patient list of just under 8,000 individuals with 4 GP Partners and a team of friendly and dedicated staff. There is an experienced Operations Manager, Reception, and Admin leads offering support for this role, and our bookkeeping is outsourced.

Job Responsibilities

  • Oversee the day-to-day operations of the practice to ensure staff fulfill their main duties.
  • Manage HR processes, including recruitment, checks, contracts, appraisals, and staff performance.
  • Plan the workforce to maintain a good skill mix and ensure staff training is adequate for effective role performance.
  • Ensure adherence to employment law and legislation.
  • Collaborate with the Primary Care Network (PCN) and locality commissioners, attending meetings to foster teamwork.
  • Offer support and advice to the partnership and keep them informed on practice matters.
  • Stay updated on primary care developments.
  • Handle payroll and pensions, guaranteeing accurate reporting and liaising with the payroll provider.
  • Assist in the financial aspects of the practice, working closely with partners and the bookkeeper.
  • Explore opportunities to increase income and reduce expenses in collaboration with partners.
  • Ensure Quality and Outcomes Framework (QOF) and service targets are achieved.
  • Manage significant event and complaints processes following legislation and guidelines.
  • Oversee contracts and maintenance for services and equipment.
  • Review and update all practice policies and procedures.
  • Lead projects within the practice.
  • Manage the practice IT system and compliance with the Data Security Protection Toolkit (DSPT).
  • Coordinate the practice development plan and business continuity plan.
  • Assist in preparing business cases for new services as needed.
  • Ensure ongoing CQC compliance and compliance with NHSE contractual obligations.
  • Provide advice and support for effective team collaboration.
  • Manage internal and external communication, ensuring accurate information on all platforms.
  • Facilitate partner and practice meetings and maintain an up-to-date action plan.
  • Support the management of the Patient Participation Group.
  • Manage estates and facilities, including health and safety and risk assessments.

Experience

Essential

  • Experience in managing teams
  • Experience in HR processes, including staff development and performance management
  • Experience in successfully developing and implementing projects
  • Experience in workforce planning and development

Desirable

  • Experience working in a healthcare setting
  • NHS/primary care general practice experience
  • Premises management and health and safety experience

Qualifications

Essential

  • Literacy and numeracy skills sufficient to manage a small to medium-sized business

  • Leadership and/or management qualification
