The post holder will be a key member of the theatres team and be responsible for the checking of supplies and equipment across theatre areas to ensure that all equipment and stock supports clinical staff in the delivery of excellent patient care by ensuring that products are available in the right place, in the right quantity and ready to use at the right time.

The post holder will liaise with the Theatre staff and Procurement staff to ensure that stock is managed efficiently with mínimal disruption to supply.

Responsible for the day-to-day management of all stores across theatres on site

Support the General Manager in developing written operational standards and procedures for stores related duties.

To guide staff through inventory management system and NHS Supply Chain.


The post holder will be responsible for ensuring the availability of sterile sets, supplementary instruments including the organisation, ordering and recording/tracking of any equipment hired from external companies, to ensure that the Clinical team have equipment readily available for use at all times.

To work as the link between theatres and the contract department managing an in-house contract register.

Equipment and stock control responsibilities

Responsible for the availability of consumables at pre - agreed levels as directed by the clinical theatre staff.

Ensuring that safe storage rules are followed for specific items.

Attend 6:4:2 and scheduling meetings to ensure that the correct kit and equipment are ordered in a timely manner.

Work with the Matron and band 7 theatre co-ordinators staff to support forward planning of theatre lists by ensuring key stock lines are received in a timely fashion to avoid high value delivery charges and associated risk to patient care in delayed receipt of goods.

Adjusting workload and processes to meet trauma and CEPOD demand

Ensure that high-cost items are recorded and added to the relevant system each month.


Responsible for the ordering and organisation of loan/hire kits when required and liaise verbally, in writing, and in person to co-ordinate patient-centred services, ensuring all the safe arrival of Loan/Hire equipment.

To receive/receipt loan instruments (and invoices) and dispatch to HSDU for processing following Trust polices and protocols.

Ensure that physical checks and replenishment of stock takes place on a daily and weekly basis and liaise with the procurement team to ensure that the Omnicell stocks are adequate

Serve as a key link between the Theatre staff, Procurement teams and Central stores/materials management in controlling of supply at adequate and safe levels

Record and report all delivery discrepancies (e.g. incorrect quantity or item received) to suppliers and escalate to the AGM and procurement to arrange invoice credits or organise the correct product delivery ASAP.


To oversee the day-to-day NHSSC ordering of all non-stock ensuring all orders are submitted in a timely fashion ensuring Theatre activity is not impacted by non-delivery of essential stocks.


Continually assess appropriate reorder levels and top up all NHSSC products according to a timetable agreed by the Supply Chain and Logistics manager and with full engagement with clinical staff to ensure uninterrupted availability of stock.

To maintain theatre stock rooms, managing all labels and stock PAR levels to avoid overstocking.

Support the control of high value consignment stocks, managing the replacement, replenishment and return of implants in with the theatre lists.


Maintain the stock areas to support efficient theatre working practises, and link with theatres to ensure standardised product ranges are deployed across the Trust.


Inform the Theatres Co-ordinator and line manager of any problems with ordering or delivery of products within good time, to ensure alternative arrangements can be made to prevent any patient cancellation.

Monitor all orders going through the ordering system & Trust inventory management system. Expedite any urgent orders by telephone to the suppliers to minimise delivery delays.
