About The Role:

Hybrid working


The Care Line Administrator will support care homes with their enquiry levels by letting key referrers know what beds they have available daily and updating the NHS Capacity Tracker daily for all homes in England to ensure that we are compliant with DHSC mandatory information requests.


Main activities will include:

  • Daily updating of NHS Capacity Tracker, EMS systems and any other bed availability portals that are used by local authorities to show what beds are available by home to attract professional enquiry referrals
  • Where there are discrepancies in the bed availability data you will communicate with the home to determine the correct data
  • Updating the master spreadsheet within Careline to ensure it is up to date and accurate 100% of the time so that advisors can visibly see where beds are available and which homes are open/closed
  • Ownership of process. This includes ordering review cards for homes along with accepting received reviews that are positive
  • Liaising with homes and Area Directors where negative reviews of a home are received to ensure that we have a response to add to the review
  • Where a negative review falls into the criteria that will allow us to challenge its validity, you will raise a challenge based on factual information and pursue the challenge until either it's overturned, or it's been investigated and deemed to be withing their guidelines to publish

About You:

You will have a minimum of 6 months experience of working in an administrative role and minimum English GCSE grade C/6, or equivalent, and have experience of using Microsoft Office packages i.e.

Word / Excel.


With excellent organisations skills and the ability to spend trends and / or errors in data, you will demonstrate a flexible approach to work to meet business demands.


Safeguarding is everyone's responsibility and therefore it is important that you are able to recognise the signs which may indicate possible abuse, harm or neglect in its different forms and know what to do if there are any concerns.

All colleagues are required to attend safeguarding training appropriate to their role and to undertake additional training in associated areas.

You also have the ability to seek appropriate advice and report concerns, including escalation if action is not taken.
