KEY DUTIES / RESPONSIBILITIES

Registration:

  • Ensure all patients that are included in the CCR, that are not registered on the Patient Administration System (PAS) are registered to enable booking onto Smear/ Colposcopy Clinics as required.
  • Ensure that all referrals to Consultant Led Colposcopy and Gynae Services are processed in line with CCR protocols to ensure timely and appropriate booking of patient appointments.
  • Ensure that the Registration process complies with the requirements of the Integrated Elective Access Protocol (IEAP).

Booking

  • Book fixed appointments for patients, telephoning patients as required, issuing appointment letters and recording appointments and attendances at clinic on PAS.
  • When selecting/offering appointment dates to patients from the cohort list ensure that they are selected in order of priority as directed by the Administration Manager and Head of Service.
  • Adhere to the CCR DNA policy for smear testing and colposcopy/gynae clinics. Ensure the correct DNA letter is issued to the patient according to the CCR Standard Operating Procedure (SOP).
  • Calls into the CCR Team may be complex, sensitive, contentious, or aggressive. Therefore you will be required to use your interpersonal and communication skills to best effect to defuse any conflict.
  • Update any change in patients contact details on PAS as you are made aware of them.
  • Book patient clinic appointments a minimum of 10 days in advance of the clinic date to give appropriate notice to patients of attendance. Where patients are to be booked at short notice attempts will be made to contact the patient by telephone.
  • Cancelled appointments to be recorded on PAS, notifying the CCR Administration Manager of any shortfall in capacity so that all available slots are filled to maximise clinic capacity.
  • Work with the CCR Administration Manager to ensure that patients who have cancelled are offered the next available appointment.
Adhere to the CCR Booking Process Standard Operating Procedure (SOP) for Smear Clinics, including PAS Process.

  • Ensure all correspondence to patients is accurate and timely and to a consistently high standard.
  • Ensure all activity is recorded accurately and timely on PAS which will feed into the CCR Information Management System to ensure the progress and outcomes of the review are accessible and reportable at any time.
  • Support the CCR Helpline in conjunction with the Administration Manager. Ensuring recording of calls according to the CCR Helpline SOP.

Essential Criteria:
5 GCSEs at Grades A-C including English Language and/or equivalent / higher qualification
AND 1 years' experience in a clerical / administrative role

OR
2 years' experience in a clerical / administrative role

Experience in the use of Microsoft office products including Word, or equivalent.

Experience working with Microsoft Office eg Word and the Patient Administration System
