Job Title : Band 3 Registration & Booking Clerk

Location : Portadown

Duration : 3 months

Rate : £11.11p/h

Hours: 37.5 hpw
- For the first few weeks 10am-6pm for training purposes.
- After that we are flexible with the work pattern but options are usually:

- Mon - Fri 4 days x 9am-5pm with 1 day 12noon-8pm plus 1 Sat in 4 9am-1pm (Sat hours can be saved as time in lieu or late day each week can be 1pm-8pm recouping the Sat hours)
- 3 weeks Mon-Fri 9-5 plus 1 week Mon-Fri 12-8 (Again 1 Sat in 4 9-1)

Open to condensed hours with a few long days which can incorporate the 4hrs from Sat.

Also can be worked all lates with 1 Saturday in 4 once trained.

(4 week working pattern to include 8am starts/8pm finishes and Sat morn to be agreed

with line manager. RBC opening hours Mon-Fri 8-8 & Sat 9-1)

**JOB SUMMARY**

The role will include working as part of a team and play a key part of the strategic modernisation and development of the pathway for GP and other referrals within the Trust. This will include the interface with patient, the GPs and colleagues within the Trust both by correspondence and telephone.

The post holder will be required to work shifts covering the opening hours of the Referral and Booking Centre i.e 8.00a.m. to 8.00p.m. Monday to Friday and Saturday 9.00a.m. to 1.00p.m.

**KEY DUTIES / RESPONSIBILITIES**

1. Receive and open mail to the Referral and Booking Centre. Sort and date stamp mail on receipt, selecting Red Flag referrals and prioritizing these to ensure they are actioned immediately. Sort referrals by specialty, for Registration by booking teams.

Ensure that all referrals (both electronic and paper) to consultant led services are processed in line with protocols to ensure prioritisation (Red Flag, urgent and routine) is timely and notify the Manager where this is not the case.

Provide telephone cover to address queries to the Referral and Booking Centre including calls from patients, Administration staff, ward staff, Consultant Secretaries and GPs.

4. Carry out address checks with GP surgeries when patients fail to respond to invitations to make an appointment.

5. Deal with general enquiries regarding referral letters and track these letters ensuring the triage outcome is returned.

6. Sort referrals and Triage outcome forms for primary filing and assist in filing duties as required.

7. Operate the Patient Administration System (PAS) computer database and NIECR to assist in the performance of duties.

Arrange and book new and follow up appointments on the Patient Administration System (PAS).

Cancel and rebook appointments when necessary per line manager instruction.

11. Any other clerical duties that may be required throughout the Referral & Booking Centre.

Essential Criteria:
1. 4 GCSEs at Grades A-C including English Language or equivalent / higher qualification and 1 years’ experience in a clerical / administrative role

2 years’ experience in a clerical / administrative role

2. Experience in the use of Microsoft Office products including Word and Excel or equivalent
