We are currently looking for exceptional people to join our team and have a great opportunity for a Group Admin and Billing Coordinator based in our Warrington Head Office.

Flexible working hours between Monday and Friday can be discussed

The ideal person should have outstanding organisational and timekeeping skills, a professional manner with calm and rational approach. The ability to balance customer and business priorities. Excellent communication and planning abilities. Fantastic attention to detail.

Responsible to ensure the smooth inputting of rooming lists, making sure room types, rates names are inputted correctly.

To ensure full prepayment is received for all group arrivals which do not have credit facilities prior to arrival date.

To support the hotel teams on the accuracy of invoices in disciplined procedures and checks. Invoices are sent quickly and efficiently so there is no delay on receiving payment.

To take responsibility of general and first point of contact enquiries for the revenue team.

Responding to changes and amendments in a timely and courteous manner, informing all involved parties to ensure a smooth process for all.

Key Accountabilities

  • Point of contact for general enquiries.
  • Responding to amendment requests such as room changes in a prompt manner.
  • Manging changes with groups such as arrival date changes and actioning.
  • Managing, chasing and amending rooming lists.
  • Sending room lists to hotels for inputting.
  • Supporting hotels with training / development of new receptionists.
  • Chasing contracts
  • Ensuring correct room prices for accurate billing.
  • Preparing proforma invoices for upcoming groups without credit.
  • Inputting rooming lists for the next 28 days, ensuring rates, rooms names are all correct.
  • Completing in house checks to ensure any nonarrivals / cancellations are charged, all rooms are complete, rates are correct.
  • Weekly reporting on outstanding debt by month, by hotel.
  • Weekly reporting to highlight reoccurring hotels creating billing issues to understand and identify people development and training needs.
  • Proactively looking for new processes, supported with robust SOP's to streamline and ultimately make the billing process more efficient.
