To coordinate and manage for Cardiology services, the Trust wide Coding Management System, ensuring all uncoded clinical episodes are thoroughly investigated and reported.

As part of the investigation process, close liaison with the cardiologists will be needed to ensure outstanding medical information is accurately acquired and updated on EPR/EPIC, enabling uncoded clinical events to be validated as part of the financial payment process to ensure all income is received by the Trust for the care and treatment provided.


The post holder is expected to work in collaboration with all members of the multi-professional team, including attending consultant's and their teams Departments providing the relevant cardiovascular services.

Admissions & Waiting List Manager.

Other administrative teams e.g. Ward Clerks, Receptionists, Prep Clerks, Cath Lab staff, Clinical Coders

GP surgery staff.

Other referring hospital sites

MAIN DUTIES AND RESPONSIBILITIES:

Inpatient Waiting List Management

To be responsible for the management of the inpatient waiting list for a number of Cardiology Consultants.


To fully involve the multidisciplinary team in the planning of admissions, ensuring that the patient is provided with appropriate information regarding their admission in a timely manner.


To add patients to day case waiting lists accurately onto the Patient Information Management System (PIMS)/EPIC and Theatre system in a timely manner, in line with Trust policy.

Maintain thorough and accurate records of all correspondences with patients throughout their admission process.


To ensure any patient cancelled on the day of admission/surgery for non-medical reasons, is reallocated a date for admission within 28 days, escalating any problems or issues to the Admissions & Waiting List Manager within a timely manner.

To identify the needs of patients in conjunction with their admission episode, i.e. language barriers, anxiety, carer / dependency issues.

To arrange patient transport if required for admission appointments in conjunction with Trust guidelines and policy.

To manage waiting list activity and admission data with Trust IT system (i.e.
PiMs)/EPIC and other associate IT systems (i.e. Excel, PAC's, EPR) and action/highlight any errors.

Day Surgery Admission booking and coordination - Catheter Laboratory


To arrange day surgery admissions in accordance with the Trust's waiting list policy, taking into consideration the type of urgency, waiting list status, previous cancellations and special requirements.


To add patients to day case waiting lists accurately onto the Patient Information Management System (PIMS)/EPIC and Theatre system in a timely manner, in line with Trust policy.


Frequently liaise with the Cardiology Consultants / Clinical Services Manager regarding the case mix of lists so that they are always utilised to maximum capacity.

To monitor lists daily and act upon patient cancellations to ensure full usage of the day case theatre lists.


To follow procedures for cancelled admissions ensuring that procedure dates are booked according to the Trusts re-book policy, informing the Admissions & Waiting List Manager of any potential problems.

To maintain an effective filing system.

Monitor appointment attendance and re-arrange further appointments as required, in line with trust policies.

Elective Patient Pathway Administration


To follow all administrative processes within the elective and emergency cardiology inpatient/day case pathway, to ensure patient pathways are managed efficiently, smoothly and in accordance with national targets and locally agreed timescales.
