As Management Support and Office Manager, your role involves overseeing office management tasks and providing travel and event management support to all team members.

Main Responsibilities:

  • Coordinate travel arrangements for employees within budget constraints, including flights, accommodation, and transportation
  • Manage employee accounts and hotel cards for business trips
  • Organize sales meetings, conferences, and customer events, and participate in meetings as needed
  • Handle inbound and outbound courier services for various activities
  • Provide administrative assistance such as managing mail, preparing reports, sending communications, and setting up presentations
  • Manage the booking and setup of meeting rooms, including equipment, refreshments, and lunches
  • Assist Line Managers in updating team charts and sales territories by region
  • Order and maintain kitchen supplies and office facilities
  • Procure and manage stationery items, including business cards
  • Support HR and Line Managers in IT equipment deliveries, desk setups, and ordering health & safety equipment for staff
  • Act as the primary contact for daily office responsibilities, including visitor management and addressing queries
  • Organize social and office engagement events like summer activities and holiday parties
  • Arrange gifts, vouchers, and flowers for staff on special occasions
  • Handle ad-hoc tasks as needed to support the teams
  • Serve as the designated First Aider and Fire Marshall representative, with training provided by the Company

Skills Required:

  • Previous experience in a similar role/environment
  • Excellent organizational and time management abilities
  • Strong analytical skills and attention to detail
  • Good grasp of business processes and systems
  • Proficiency in Microsoft programs (Word, Excel, PowerPoint, and Outlook)
  • Fluency in English with exceptional written and verbal communication skills
  • Ability to thrive in a dynamic team environment
  • Strong interpersonal skills for effective communication across all levels of the organization
  • Self-motivated with a keen eye for identifying new business prospects
  • Capability to work independently and make decisions autonomously
