Brief Description

The Section Administrator provides an accurate, efficient and effective administrative support to the line manager. They work as directed or using own initiative as the situation demands.

About the role (External)

Key Accountabilities

1.Administration of rosters and timesheets.

2.Accurately update systems, databases and records as required including opening/closing works orders where directed.

3.Support the administration of the Assessment in The Line process.

4.Set up and maintain efficient filing systems for the Section(s) paying particular attention to confidentiality where necessary and also those documents deemed to be safety critical.

5.Undertake general office administration duties for the Section Manager using a range of knowledge and skills to provide effective support.

6.Provide support and assistance to other Section Administrator positions as directed.

Job Skills, Experience and Qualifications

Essential

·Excellent interpersonal, communication and organisation skills

·Knowledge of operational railway environment

The Cowlairs Overhead Line team is a complex section with a high volume of administrative tasks that must be completed to maintain compliance to safety and Network Rail Standards. The section administrator manages the fleet of specialist Overhead Line Unimogs and vans at the depot ensuring they are fit for purpose 24/7, they are also responsible for maintaining the stock and ordering materials with Cowlairs being the main overhead line stocking point in the Glasgow area, responsible for distributing equipment to other OLE teams and often supplying contractors/major projects with equipment at short notice in emergencies. The section admin looks after all CAPEX off charging at the depot alongside timesheet processing and managing the training to minimise penalty costs for late notice changes and cancelations. They also ensure briefing records are adequately filed and ensure frontline staff are complying with fatigue management standards. The admin is also the main interface between the depot and the rostering team, ensuring the roster clerks have the latest annual leave and training information.
