ROLE PROFILE

Surpass Assessment successfully supplies some of the largest and most prestigious certification and examination organisations in the world with its onscreen testing solution, the Surpass Platform, which enables the creation and delivery of millions of exams each year.


Role Purpose:


Reporting to the Office Manager, the Receptionist / Administrator will work closely with Surpass' Chief HR Officer to help with the growing workload.

You will be responsible for reception duties, answering calls, and assisting with office / building related issues that arise. You will also assist with Finance and HR related tasks.

Key attributes for this role are self-confidence, initiative, a proactive hands-on approach to getting work done, excellent organisation and communication skills.

This role is office based, 4 days a week.

Accountabilities

Reception / Admin

  • Greet visitors to Surpass
  • Deal with incoming and outgoing mail (and postage and stamp purchasing)
  • Prepare shipments, organise courier collections and take delivery of parcels
  • Daily checks of office, including meeting rooms and kitchens
  • Filing
  • Front of house
  • Assist with event planning including staff Christmas party, summer away day etc
  • Ad hoc work for departments when required
  • Assist with travel and accommodation bookings national and international
  • Diarise and book meeting rooms
  • Fire warden
  • Assist with Test Centre exam days and HR duties (e.g. processing DBS checks)
  • Assist Finance with inputting and processing of company accounts information: purchase ledger and invoicing; filing; any knowledge of Sage is beneficial, but training can be provided
  • Strong understanding of Excel, Word, Outlook, and PowerPoint preferred
  • Any other duties considered to be commensurate with the level of this role, which may reasonably be required of you.

Facilities

  • Maintain stock of stationery, supplies for photocopier, binding machines etc
  • Arrange catering for external client meetings / training sessions
  • Order kitchen supplies (tea, coffee, milk, washing up liquid etc)
  • Liaise with cleaning company and building management company when required.

  • Hours 28 per week (with paid or flexible additional hours as required)
